3PL Discovery Call is an introductory call where a merchant and 3PL discuss fit, requirements, services, pricing, systems, and next steps. Preparing the right documents and data before the call speeds evaluation, produces accurate proposals, and reduces follow-up cycles.
Merchants who arrive with standardized information get better and faster responses. The goal is to equip the 3PL with the facts needed to assess operational fit and to estimate costs without multiple clarification rounds. Below is a practical, prioritized checklist with the detail level most 3PLs expect on an initial call.
Essential Operational Data
- SKU Count: Total active SKUs and how many are seasonal or slow-moving.
- Order Volume: Average daily/weekly orders and peak-period projections (include peak multiplier).
- Order Profile: Average lines per order, typical units per SKU, and average order weight/volume.
- Inbound Frequency: Pallets/shipments per week, preferred carriers, and appointment requirements.
- Return Rate: Percentage of orders returned and any special return disposition rules.
Product And Packaging Details
- Dimensions & Weight: Cube and gross weight for top-selling SKUs or a sample set of product dimensions.
- Packing Specs: Current pack plans — inner packs, master cartons, pallets (TI/HI).
- Special Handling: Temperature sensitivity, hazardous materials, fragility, or lot/batch traceability needs.
Systems And Integration Information
- Order Sources: OMS, marketplaces, or ERP details and example order formats.
- Integration Methods: Preference for EDI, API, FTP, or flat-file; indicate whether automated acknowledgements are required.
- Reporting Needs: Inventory reporting frequency, custom KPIs, and financial reconciliation requirements.
Commercial And Contractual Basics
- Billing Preferences: Monthly vs. weekly billing, PO requirements, and whether merchant needs consolidated invoicing.
- Desired Pricing Model: Per-order, per-line, per-pallet, storage per-cubic-foot, or blended models.
- Service Level Expectations: Order cut-off times, same-day/next-day fulfillment needs, and acceptable out-of-stock tolerances.
Logistics And Compliance Details
- Customs & Import Needs: If the merchant imports, note whether the 3PL must handle customs brokerage or bonded warehousing.
- Insurance & Certifications: Required liability limits, ISO/GFSI/QA certifications, or vendor audits.
- Labels & Documentation: Any retailer or carrier-specific labeling, ASN, or packing list rules.
How To Share The Data Efficiently
Consolidate the most important numbers into a single one-page summary and attach a sample order file and sample product master (CSV). During the call reference that one-pager and offer to share deeper reports if requested. If numbers are estimates, flag them as such and provide ranges; 3PLs prefer honest ranges to fictionally precise figures.
Red Flags And Deal-Breakers To Flag Early
- Unsuitable Footprint: Requirements for cold storage or hazardous handling when the 3PL has no capability.
- Unreasonable Seasonality: Extreme, unmitigated peaks that the 3PL cannot absorb without long-term capacity guarantees.
- Integration Gaps: If a merchant requires a bespoke API and the 3PL has no development capacity or costly change orders.
