Advance Shipping Notice (ASN) Software is software used to create and transmit advance shipment information to retailers, distributors, or other trading partners. When choosing how to send ASNs you’ll encounter different technologies — native ASN modules, traditional EDI translators, managed EDI services, and modern API-based integrations — and it’s important to separate the message (the ASN) from the transport (EDI, API, etc.).


Retailers often ask whether they should adopt ASN-capable applications, use an EDI provider, or build API integrations. The correct choice depends on trading partner requirements, internal IT capabilities, transaction volume, and the flexibility needed for carton-level or serialized data.


ASN Versus EDI: Clarifying Terms


It helps to define roles: an ASN is a transaction type (often the ANSI X12 856 or EDIFACT DESADV). EDI (Electronic Data Interchange) is a family of standards and an ecosystem for exchanging those messages, typically via VANs or AS2. ASN software is the tool that assembles the ASN payload, validates it, and hands it off via an EDI engine or API to the partner.

  • Compliance: Large retailers often demand EDI 856 formatted to strict partner-specific maps; noncompliance can trigger chargebacks.


When ASN Software Alone Is Sufficient


If your trading partners accept modern APIs or your volumes are low and limited to a small set of partners, a cloud ASN module integrated with your WMS/ERP may be enough. These packages generate ASNs in the required format, log transmissions and let you manage exceptions without buying a full-service EDI contract.


When You Need Traditional EDI Or A Managed Service


Use a full EDI solution when:


  • Multiple Large Retail Partners: If you ship to national retailers with strict EDI maps and certification processes, a managed EDI service or EDI translator is usually required.
  • High Volume: Large, frequent ASN exchanges justify investing in an EDI stack or managed service to ensure throughput and SLAs.
  • Legacy Requirements: Some partners still require VAN/AS2 connectivity and complex X12 mappings best handled by EDI specialists.


Hybrid Approaches


Most modern implementations use hybrid models: an ASN-capable application creates validated shipment data, which is then handed to either an internal EDI translator or a managed EDI/API gateway that routes messages according to each partner’s expectation. This separates business logic from connectivity complexity.


Cost, Time-To-Value, And Risk


Managed EDI services have predictable monthly fees and offload partner onboarding but raise ongoing costs. DIY EDI and in-house translators require upfront investment, development resources, and long-term maintenance. API-driven ASN solutions can be lower-cost and faster to deploy where partners support them, but adoption across retail ecosystems can lag.

  • Partner Requirements: Which formats and transports do your top trading partners require?
  • Transaction Volume: Do volumes justify a managed EDI service?
  • Internal Skillset: Do you have staff to manage mappings and connectivity?
  • Future Roadmap: Are you moving to real-time APIs or expected to keep traditional EDI lanes?
