Barcode receiving ties physical inbound goods to digital inventory records by scanning barcodes on cartons, pallets, or individual items at the dock or receiving bay. The scan triggers a WMS transaction that confirms SKU, quantity, lot or serial number, and receiving location. That confirmation can be immediate—updating available-to-pick quantities and triggering subsequent workflows such as putaway, quality inspection, or replenishment.


How The Process Typically Works

Start at the point of physical handoff: the carrier delivers pallets or cartons to the receiving dock. Staff scan a shipment-level barcode or a carrier-provided manifest barcode to pull the expected purchase order (PO) or ASN into the WMS. Next, workers scan item-level barcodes on cartons or inner packs as they verify counts. The WMS compares scanned items and quantities to the expected receipt and posts a receiving transaction if everything matches. If discrepancies occur, the WMS logs exceptions and routes items to inspection or quarantine.

How It Varies By Operation

Small e-commerce operations may scan carton barcodes to update inventory immediately and then perform periodic cycle counts. High-volume distribution centers typically integrate barcode receiving with ASNs and automated putaway to minimize touchpoints. Regulated industries add steps—barcode capture of lot and expiry dates with enforced validation rules in the WMS. 3PLs often add client-specific barcode formats and labeling steps during receiving.


Who Performs Scans And Where

  • Receiving Clerks: Scan at the dock during shipment check-in and initial counting.
  • Quality Inspectors: Scan items when routing to inspection or quarantine to associate inspection records to receipts.
  • Putaway Teams: Scan during storage assignment to record actual bin locations.
  • Automated Equipment: Conveyor-mounted or fixed scanners can capture labels as goods move from dock to staging.


Common Exceptions And How The WMS Handles Them

Barcode receiving doesn’t eliminate exceptions. Common issues include missing or unreadable barcodes, quantity mismatches, unexpected SKUs, or supplier labeling errors. The WMS should provide exception workflows: hold the line, create discrepancy records, prompt re-scans, generate variance reports, and notify procurement or the supplier. Effective exception handling prevents bad data from entering inventory and speeds resolution.


Practical Example

A retailer receives a mixed pallet from a vendor. The dock worker scans the pallet barcode to load the ASN, then scans each carton barcode. The WMS flags two cartons with a quantity shortfall and one carton with a mismatched SKU. Those cartons are routed to inspection; the rest are put away. The WMS posts received quantities for the matched lines and updates available-to-sell for the retailer’s online store within minutes.


Tips For Implementation

  • Start With Standards: Agree supplier label formats and minimum barcode quality to reduce unreadable labels at the dock.
  • Integrate ASNs: Use advance shipment notices to pre-stage expected receipts in the WMS and speed dock processing.
  • Choose The Right Hardware: Use industrial handhelds or dock-mounted scanners rated for your environment (cold, wet, dusty).
  • Train For Exceptions: Teach teams the WMS exception flows so they know when to quarantine, re-label, or escalate.
  • Monitor KPIs: Track receiving cycle time, error rates, and time-to-available inventory to measure impact.
