Billable Event A recorded operational occurrence that triggers a charge under the client's pricing agreement. Warehouse managers need a practical checklist of common billable events so they can map WMS transactions to invoices, set accurate rates, and explain charges to clients.


This checklist is built from typical 3PL rate tables. Use it to compare your WMS event log to your contract and to test billing exports. Each item includes the usual measurement unit and a short note on capture best practices.


Inbound Events


  • ASN/Receiving Scan: Unit: per pallet/carton; Note: capture BOL/ASN number and arrival timestamp for carrier reconciliation.
  • Inspection/QA: Unit: per hour or per pack; Note: attach QC photos when damage is found.
  • Putaway: Unit: per pallet or per pallet-position move; Note: record origin and destination locations in the WMS.


Inventory And Storage


  • Storage Fee: Unit: per pallet per month, per cubic foot, or per SKU; Note: define free‑days and pro‑rata rules for partial months.
  • Cycle Count/Recount: Unit: per count or per hour; Note: bill only for out-of-schedule recounts or client-requested audits if contract specifies.


Order Fulfillment


  • Pick (Per Pick-Line): Unit: per pick or per line; Note: define whether split-case picks count as separate picks.
  • Pack: Unit: per order or per carton; Note: include materials surcharge if client-provided packaging isn’t used.
  • Consolidation/Manifesting: Unit: per shipment; Note: include handling for multi-carton shipments and pallet builds.


Value‑Added Services


  • Labeling/Rework: Unit: per label or per unit; Note: require client approval for samples before large runs.
  • Kitting/Assembly: Unit: per kit or per hour; Note: maintain work instructions and track labor time.
  • Inspections/Photography: Unit: per SKU or per hour; Note: store images with the transaction record.


Returns And Exceptions


  • Return Processing: Unit: per return unit or per RMA; Note: define dispositions (restock, refurbish, scrap) and associated charges.
  • Damage Handling: Unit: per incident or per hour; Note: keep signed damage reports and images.
  • Claims Handling: Unit: per claim; Note: capture supporting documents and correspondence for audit trails.


Outbound And Transportation Events


  • Freight Tendering: Unit: per shipment; Note: include additional charges for reconsigned or refused shipments.
  • Loading/Carrier Pickup: Unit: per pallet or per truck; Note: record carrier name, trailer number, and driver signature.
  • Expedited Handling: Unit: surcharge per shipment; Note: require written client authorization to bill expedite fees.


How To Use This Checklist


Step 1: Reconcile the checklist with your rate table and confirm units of measure. Step 2: Map each checklist item to a WMS transaction code and create a billing code mapping document. Step 3: Run a billing export for a recent month and compare raw event counts to expected invoice lines. Step 4: Flag mismatches for process or configuration fixes and agree on remediation with the client.


Metrics And Reporting To Monitor Billable Events


  • Event Volume Report: Count of each billable event by day/week/month so you can detect spikes.
  • Dispute Rate: Percentage of invoice lines disputed — aim to reduce this over time.
  • Average Revenue Per Event: Helps you model margins by service type.


In short, the Billable Event checklist aligns operations, systems, and contracts so every recorded activity maps to a clear billing outcome. Use the checklist as a living document: update it when new services, packaging types, or channels are added to keep invoices accurate and auditable.
