Date Code vs Lot Number: Differences, Use Cases, And Traceability
Date Code
Definition
An identifier printed or encoded on shipping packaging for the supply-chain purpose described by 'Date Code'.
Overview
Date Code An identifier printed or encoded on shipping packaging for the supply-chain purpose described by 'Date Code'. While date codes convey time‑related information, they often coexist with lot numbers that identify production batches; understanding the distinction is essential for recalls, quality control, and fulfillment rules.
Both elements are common on cartons, inner packaging, and labels, but they serve different primary purposes. A date code answers "when"—manufacture, pack, or expiration dates—while a lot number answers "which batch." Together they enable precise traceability: a lot number traces to a specific production run and ingredients, and the date code confirms the time window and shelf life associated with that run.
Key Differences
- Primary Purpose: Date codes indicate time‑based information (e.g., expiration), while lot numbers identify the production batch.
- Scope: Lot numbers link to process records, supplier batches, and QC data; date codes tie to shelf life, regulatory labeling, and FEFO logic.
- Format: Date codes often use standardized date formats (ISO 8601 or GS1 AI date AIs); lot numbers are alphanumeric and manufacturer‑specific.
- Traceability Use: Lot numbers are the primary key for root‑cause investigations; date codes help narrow the window and determine affected inventory by time.
When To Use Each
Most fulfillment operations should capture both where applicable. Use date codes to drive picking priority and to enforce expiry controls on outbound shipments. Use lot numbers when regulatory traceability is required (e.g., food, pharmaceuticals, medical devices), or when supplier contracts demand batch‑level accountability. When a recall occurs, lot numbers identify affected production runs; date codes help locate affected units across warehouses and retailers.
How They Work Together In Systems
WMS and ERP systems should treat date code and lot number as separate attributes tied to an inventory record. Typical behaviors:
- Receiving: Record both lot and date code to create distinct inventory lots in the WMS.
- Picking Rules: Apply FEFO based on expiration date while preserving lot isolation for traceability.
- Reporting: Provide combined filters (lot + date range) to find affected units quickly during a quality event.
Regulatory And Audit Considerations
Regulators and auditors frequently require both elements for certain product classes. For example, food safety inspections look for clear product dating and traceability records; pharmaceuticals require batch records and expiration management. Properly encoded and stored lot/date information shortens audit cycles and speeds recall responses.
Practical Example
A manufacturer issues a recall for a contaminated ingredient used across several days. The lot number identifies which production runs used the ingredient, while date codes on finished cartons identify which units were packed during the affected days. A 3PL searches inventory by lot number to isolate candidate lots, then applies date filters to determine which pallets must be quarantined and removed from active picking.
In short, the Date Code provides the time dimension necessary to manage shelf life and picking priority; pairing it with a lot number completes the traceability picture needed for safety, compliance, and efficient recall handling.
