Manual dispatch relies on people using phone, email, spreadsheets, and experience to match loads with drivers and vehicles. Software-driven dispatch uses a TMS or dedicated dispatch platform that automates assignment logic, provides route optimization, and offers two-way communications with drivers. Each approach has trade-offs in cost, speed, and suitability depending on fleet size and service complexity.


How Manual Dispatch Works


In manual dispatch a dispatcher reads bookings and checks driver availability, often on a whiteboard or spreadsheet. They call drivers to confirm assignments, create paper or PDF manifests, and manually adjust routes when exceptions arise. Manual methods rely heavily on individual dispatcher skill and knowledge of local conditions, which can be effective for small, predictable operations but becomes a bottleneck as volume grows.

Dispatch software centralizes orders, assets, driver hours, and routing rules. It can automatically match loads to drivers using configurable constraints: vehicle capacity, required certifications, hours-of-service (HOS) limits, and delivery windows. But as shipment volume, geographic reach, or customer SLAs increase, software typically generates net savings through reduced empty miles, lower overtime, and fewer missed deliveries. Consider total cost of ownership: software subscription plus measurable operational savings versus manual labor costs and error-related expenses.


When Software Is Worth It


Dispatch software is usually worth the investment if your operation shows one or more of the following: frequent route changes, multiple drivers per dispatcher, high detention or wait times, high customer service queries about ETAs, or plans to grow into new territories. Software pays back faster when you can link it to telematics, EDI, or order systems to eliminate duplicate data entry and speed decision-making.


When Manual Dispatch Can Still Work


Manual dispatch remains valid for micro-fleets (often under 5 trucks) doing repetitive local work with minimal routing complexity. It also fits businesses where the cost and disruption of implementing software outweigh the efficiency gains, or where human relationships (drivers and local contacts) are the primary differentiator.
