Overview

EDI 855 The ANSI X12 purchase order acknowledgment transaction. It communicates a supplier’s acceptance, rejection, or change to a buyer’s purchase order in a structured electronic format so downstream systems — WMS, ERP, TMS — can act without manual re-keying.


For merchants, warehouses, and 3PLs operating at scale, an EDI 855 is the bridge between order placement and fulfilment planning. It’s not merely a receipt; it carries line-level confirmations, backorder notices, ship dates, and sometimes packing details. When implemented correctly it removes ambiguity from order flow and enables automated replenishment, allocation, and carrier booking.


How The Transaction Works


An EDI 855 is generated by the seller in response to an incoming purchase order (commonly an EDI 850). At minimum it reports whether each PO line is accepted or rejected. Typical EDI stacks and trading partners expect these behaviors:


  • Timing: Sent after PO receipt and validation; can be immediate or batched depending on partner SLA.
  • Granularity: Line-level status including full accept, partial accept, or reject.
  • Additional Data: Confirmed quantities, promised ship dates, backorder references, and carrier or packaging hints where agreed.


Key Segments And Data Elements


Understanding which segments matter for your systems reduces integration mistakes. Commonly used segments include:


  • BEG Segment: Purchase order reference including PO number and date — links the 855 to the originating 850.
  • PO1 Segment: Line item identifier and quantity confirmations at the SKU level.
  • ACK Segment (or IT1 variations): Acceptance code and reasons for rejection or partial acceptance.
  • DTM Segment: Dates for promise-to-ship, availability, or backorder expected date.


Why It Matters To Warehouses And 3PLs


Operational teams use the 855 to plan inbound activity. Receiving schedules, dock assignments, labour planning, and staging space are derived from the confirmed quantities and ship dates inside the acknowledgment. When an 855 updates a PO, those changes should cascade into warehouse alerts and replenishment logic.


  • Capacity Planning: Accurate promised ship dates prevent congestion at docks and reduce expedite costs.
  • Inventory Accuracy: Knowing confirmed quantities ahead of arrival reduces exceptions and receiving adjustments.
  • Carrier Selection: Advance notice of shipment timing makes tendering and routing more efficient.


Common Implementation Pitfalls


Errors in mapping or partner expectations are the leading causes of trading disputes. Typical problems include mismatched segment usage, ignored rejection reasons, or timing mismatches where the buyer expects an immediate 855 and the supplier batches acknowledgments.


  • Mapping Differences: Suppliers may use different segments or qualifiers to express the same information; explicit mapping tables are essential.
  • Partial Accepts: Partial confirmations without clear backorder dates create downstream picking and invoicing confusion.
  • Missing Identifiers: If PO numbers or line IDs are wrong or missing, automatic reconciliation fails and requires manual fixes.


Integration With WMS And ERP


Design integrations so EDI 855 messages update open POs in your ERP and create or adjust inbound receipts in your WMS. Use event-driven flows: upon receiving an 855, a warehouse system can auto-generate a proposed ASN or update expected receipts and trigger slotting changes if quantities differ materially.


  • ERP Sync: Update PO status (confirmed, partially confirmed, rejected) and adjust purchase commitments.
  • WMS Actions: Update expected receipt records, adjust putaway plans, and create alerts for over/under shipments.
  • Notifications: Alert procurement for reorders or carriers for changed pickup windows.


Practical Example


A retail buyer sends an EDI 850 for 1,000 units of SKU-123 with requested ship week of June 7. The supplier can only ship 700 the requested week and will backorder 300 until June 21. The supplier sends an EDI 855 that accepts 700 on the requested date, marks 300 as backordered with an expected availability date, and provides carrier preference for the confirmed shipment. The buyer’s ERP updates the PO lines, the WMS schedules a receiving window for the 700 units, and procurement is alerted to the backorder so they can source alternatives or adjust promotions.


Best Practices And Tips


  • Agree On Business Rules: Define and document partner expectations: when 855s are required, what qualifiers to use, and how to handle partial accepts.
  • Automate Validation: Implement syntactic and semantic validation to flag missing PO references, invalid dates, or unacceptable acceptance codes before processing into WMS/ERP.
  • Monitor Exceptions: Use dashboards to surface rejections, date changes, and quantity shortfalls so teams can act quickly.
  • Test Thoroughly: Run cross-functional E2E tests between trading partners to validate mapping, timing, and downstream effects on receiving and billing.


In short, the EDI 855 is a compact but powerful document in the order lifecycle: it confirms what will arrive, when, and in what quantity, allowing warehouses and supply chain teams to plan receiving, inventory, and logistics with confidence.
