3PL Discovery Call

Definition

An introductory call where a merchant and 3PL discuss fit, requirements, services, pricing, systems, and next steps.

Overview

3PL Discovery Call is an introductory call where a merchant and 3PL discuss fit, requirements, services, pricing, systems, and next steps. The right questions on that call reveal operational capabilities, expose potential costs, and clarify timelines — enabling merchants to compare providers objectively.

This article groups high-value questions by topic: operations, technology, pricing, onboarding, and quality. Use them as a script during the discovery call or as a checklist for follow-up. Ask open questions that prompt examples and metrics rather than yes/no answers.

Operations And Capacity Questions

  • Throughput Capability: What are your current weekly order and pallet volume ranges, and how do you handle 3x–5x seasonal spikes?
  • Service Coverage: Which services are operated in-house versus subcontracted (e.g., returns, cross-dock, temperature-controlled storage)?
  • Dock And Appointment Constraints: What are typical inbound/outbound appointment windows and appointment lead times?

Technology And Integration Questions

  • WMS Functionality: What WMS do you use, and does it support batch picking, directed putaway, and lot/serial tracking?
  • Integration Options: Which integration methods do you support (API, EDI, SFTP)? Can you show typical mapping and go-live timelines?
  • Visibility & Reporting: What dashboards and reports are provided out of the box, and can we receive automated inventory feeds?

Pricing And Commercial Questions

  • Cost Structure: How do you price storage, pick & pack, receiving, and value-added services? Are there minimum monthly charges?
  • Peak Surcharges: How are peak season surcharges handled and communicated?
  • Reconciliation And Billing: How are discrepancies handled and what supporting documentation accompanies invoices?

Onboarding, SLAs, And Transition Questions

  • Implementation Timeline: What is a typical timeline from contract to go-live, and what milestones are included?
  • Training And Support: What training do you provide for integrations, inventory management, and issue escalation?
  • Service Level Agreements: What SLAs do you guarantee (order accuracy, on-time shipping) and what remedies are available for SLA breaches?

Quality, Compliance, And References

  • Quality Metrics: What are your recent accuracy, OTIF (on time in full), and return-processing KPIs?
  • Certifications And Insurance: Do you maintain ISO, HACCP, GxP, or other industry certifications and what insurance coverage do you carry?
  • Customer References: Can you provide references in our vertical or with similar volume and complexity?

How To Use Answers For Shortlisting

Record quantitative answers and compare providers on consistent criteria: cost per order at base and at peak, integration effort (hours and dependencies), SLA levels, and onboarding time. If a 3PL cannot provide numbers on accuracy or capacity, treat that as a time risk. Ask for a templated statement of work or a sample contract to review commercially comparable items.

In short, the 3PL Discovery Call is the merchant’s opportunity to ask targeted, measurable questions that make later proposals comparable and the selection decision defensible.
