GST/HST Account (RT)

Definition

The CRA program account used to administer Goods and Services Tax and Harmonized Sales Tax registration, returns, and remittances.

Overview

GST/HST Account (RT) is the CRA program account used to administer Goods and Services Tax and Harmonized Sales Tax registration, returns, and remittances.

Setting up and maintaining a GST/HST Account (RT) is a routine administrative requirement for retail businesses operating in Canada. Accurate setup ensures correct charging of GST or HST at the point of sale, simplifies accounting integrations, and avoids downstream compliance issues. Retailers must determine registration timing, choose an appropriate reporting frequency, and keep organized records that substantiate ITC claims and sales reported on RT returns.

Registering For An RT Account

Retailers can register for a GST/HST account online, by phone, or through authorized representatives. Registration typically happens when the small supplier threshold is exceeded or voluntarily for ITC recovery. The CRA issues a business number (BN) with an RT program identifier upon registration.

  • Online registration: Through CRA’s My Business Account or business registration services.
  • Phone or mail: Alternative channels for businesses without online access or when additional documentation is needed.
  • Timing requirements: Registration should align with the effective date when taxable supplies surpassed the threshold to avoid retroactive penalties.

Choosing Reporting Frequency

Choose a reporting frequency that balances cash flow and administrative capacity. New registrants may be assigned a frequency based on projected taxable supplies; review this regularly with accounting or external advisors if business volume changes.

  • Annual: Least frequent; suitable for very small retail operations.
  • Quarterly: Common for independent retailers and small chains.
  • Monthly: Best for high-volume retailers where regular reconciliation reduces year-end adjustments.

Integration With POS And Accounting Systems

Modern retail operations should integrate point-of-sale (POS) systems with accounting or ERP systems so GST/HST collected flows into the RT account’s reporting schedule automatically. Ensure tax codes are configured for province-specific rates (some provinces apply HST, others separate GST and provincial sales tax) and test reporting outputs monthly during the first quarters after setup.

Recordkeeping Requirements

Retailers must retain records that support amounts reported on RT returns and ITC claims for the CRA’s retention period (generally six years). Good recordkeeping reduces audit risk and speeds CRA inquiries.

  • Sales records: Daily POS reports, invoices for taxable and exempt sales, and records of returned goods.
  • Purchase invoices: Supplier invoices that show GST/HST paid and support ITC claims.
  • Import documents: Customs entries and brokers’ invoices where GST/HST was paid on imported inventory.

Practical Tips For Retailers

  • Set tax codes by province: Configure POS to apply correct provincial GST or HST rate at checkout to avoid corrections later.
  • Reconcile regularly: Reconcile POS totals to accounting records before each return is filed to catch discrepancies early.
  • Document allocation methods: If you allocate ITCs between taxable and exempt activities, document the method and keep supporting calculations.
  • Consider voluntary registration: If you have significant startup costs or inventory purchases, voluntary registration lets you recover GST/HST through ITCs even before exceeding thresholds.

In short, the GST/HST Account (RT) is the CRA program account retailers use for registration, reporting and remittance. Correct setup, well-configured POS/accounting integrations, consistent filing frequency and disciplined recordkeeping reduce compliance risk and ensure retailers pay or recover the right amount of tax.
