Digital Delivery Evidence

Definition

Logs showing that digital goods, downloads, access credentials, or online services were delivered or accessed.

Overview

Digital Delivery Evidence — Logs showing that digital goods, downloads, access credentials, or online services were delivered or accessed. For e-commerce operators this means designing systems to capture and retain trustworthy artifacts that prove fulfillment of digital orders.

Operational controls are where digital delivery evidence is created. Capture must be deliberate: which events are logged, how they are correlated to orders, where they are stored, who can access them, and how long they are retained. The right approach reduces fraud, speeds dispute resolution, and supports regulatory requirements.

Minimum Data Elements To Capture

  • Order Identifier: Persistent order ID linked to payment transaction and SKU detail.
  • User Identifier: Account ID or purchaser email that ties the event to a customer record.
  • Event Type: Issued token, link sent, download started, download completed, account activated, password reset, etc.
  • Timestamps: ISO 8601 timestamps with timezone information and synchronized server clocks.
  • Source Context: IP address, geolocation (as appropriate), user-agent, and device fingerprinting where permitted.

How To Capture

Capture should be automated and server-side whenever possible. Examples of recommended techniques:

  • Immutable Server Logs: Centralize logs with append-only storage or write-once storage for critical events.
  • Message Delivery Metadata: Retain SMTP or transactional email provider headers, delivery codes, and bounce notifications.
  • Signed Tokens: Issue cryptographically signed, time-limited tokens for downloads to reduce spoofing and to produce verifiable issuance records.
  • CDN Or Storage Logs: Record GET requests and range requests for large downloads from CDNs or object storage with the associated token parameter.
  • Audit Trails For Admin Actions: Log license creation, revocation, and manual interventions with operator identity and reason codes.

Retention And Access Controls

  • Retention Periods: Define retention based on chargeback windows, regulatory requirements, and business needs—commonly 12–24 months or longer for subscriptions.
  • Access Control: Restrict who can view or export logs; require multi-factor authentication for administrative access.
  • Backups And Archives: Regularly backup logs and store critical archives in tamper-evident or WORM systems to preserve forensic value.

Security And Privacy Considerations

Logs contain sensitive information (IP addresses, emails, possibly partial payment references). Apply least-privilege access, encrypt logs at rest and in transit, mask personal data in routine views, and balance detail with privacy regulations such as state privacy laws. Ensure any logging that captures credentials does so only in hashed form or avoids storing plaintext secrets.

Operational Checklist For Implementation

  • Plan: Map every digital fulfillment flow and identify events that prove delivery.
  • Instrument: Add server-side hooks that emit structured events to a centralized logging system.
  • Correlate: Ensure logs include the same order ID, token, or correlation ID across systems.
  • Protect: Use append-only storage, encryption, and controlled export paths.
  • Document: Publish retention and access policies and link them to customer terms where appropriate.
  • Test: Run mock disputes to verify that the exported evidence answers common questions (who, what, when, where).

Example Implementation Pattern

When a customer buys a downloadable file: the order system generates an order ID and payment capture event; the fulfillment service creates a signed download token tied to the order ID and customer ID; the email service sends a receipt and link and records SMTP metadata; the CDN logs a successful file GET referencing the token. All four artifacts—payment capture, token issuance, email delivery headers, and CDN GET logs—are archived and can be produced together to demonstrate delivery.

In short, Digital Delivery Evidence becomes reliable when operators intentionally capture correlated, immutable, and accessible records; protect them with sound security and retention policies; and design workflows so that evidence answers the critical questions needed in disputes and audits.
