ASN Label

Definition

A carton or pallet label associated with an Advance Ship Notice so the physical shipment can be matched to electronic receiving data.

Overview

ASN Label A carton or pallet label associated with an Advance Ship Notice so the physical shipment can be matched to electronic receiving data.

Matching an ASN Label to an Advance Ship Notice (commonly sent as an EDI 856) is a routine but critical dock operation. The goal is to confirm that the physical cartons or pallets arriving at the dock correspond to what was declared electronically so inventory, putaway, and billing proceed without friction. A reliable match process reduces exceptions, accelerates cycle times, and prevents chargebacks.

Pre-Arrival Preparation

Start by validating the ASN when it arrives electronically. The ASN should include SSCCs, PO numbers, GTINs, and quantity details that will be visible on the ASN label. Load these records into the WMS or receiving module before the truck arrives so scans at the dock can be matched in real time.

Dock Workflow For Scanning And Matching

  • Verify Arrival: Confirm the carrier and trailer against the shipment notice and manifest.
  • Scan ASN Label: Scan the pallet/carton SSCC or ASN barcode first to pull up the EDI record in the WMS.
  • Confirm Quantity: Match the scanned unit’s piece count and SKU list to the ASN; the WMS should present any discrepancies immediately.
  • Exception Handling: If a mismatch occurs, hold the unit for inspection and follow your dispute-resolution step (contact supplier, document photos, and create an exception report).

Integration And Automation Tips

Tight integration between EDI systems and WMS speeds matches. Map EDI 856 segments to WMS fields so the ASN label’s SSCC, PO, and item counts are the exact keys the WMS expects. Automate status updates so a successful scan updates the ASN to "received" in the ERP and triggers putaway or cross-dock tasks.

Common Sources Of Mismatch And How To Resolve Them

Mismatches come from data entry errors, label printing lag, or version drift between ASN creation and label generation. Common remedies include confirming SSCCs are issued and printed after the ASN is finalized, maintaining label template version control, and running pre-shipment label validation that checks barcode decodability and data accuracy.

Physical Label Best Practices

  • Placement: Place ASN labels on a consistent face and height on pallets so fork- and hand-held scanners can read them without repositioning the unit.
  • Print Quality: Use recommended barcode print densities and label materials suitable for the warehouse environment (cold, wet, or abrasive handling).
  • Redundancy: Include both barcode and human-readable identifiers (po number, item count) to allow manual lookups when scanning fails.

Example Step-by-Step Match Scenario

1) Supplier sends EDI 856 listing three SSCCs and associated PO numbers.
2) Receiving system ingests the ASN and flags expected arrivals for the day.
3) Truck arrives; dock clerk confirms trailer number and pulls up the ASN.
4) Clerk scans the pallet ASN label; the WMS finds the SSCC and confirms quantity and SKU mix.
5) WMS marks the pallet as "received" and issues a task for immediate putaway or cross-dock staging. Any discrepancies prompt a photo upload and exception ticket to procurement.

KPIs And Continuous Improvement

Track match-rate KPIs: percentage of pallets scanned that match ASN without human intervention, average exception resolution time, and first-pass putaway rate. Use these metrics to work with suppliers and carriers to improve label quality and ASN timeliness.

In short, the ASN Label is the operational key for matching physical shipments to EDI 856 notices. Clear label standards, system integration, and disciplined dock processes make the difference between a fast, automated receiving flow and labor-intensive exception handling.
