How Retailers File GST/HST Returns With A RT Account: Frequency, Methods, And Common Adjustments
GST/HST Account (RT)
Definition
The CRA program account used to administer Goods and Services Tax and Harmonized Sales Tax registration, returns, and remittances.
Overview
GST/HST Account (RT) is the CRA program account used to administer Goods and Services Tax and Harmonized Sales Tax registration, returns, and remittances.
Filing GST/HST returns is the primary ongoing obligation tied to a retailer’s GST/HST Account (RT). The CRA assigns filing frequency (annual, quarterly, monthly) based on a retailer’s annual taxable supplies, though registrants can sometimes elect more frequent reporting. Returns reconcile tax collected on sales with input tax credits (ITCs) claimed on purchases; the net difference determines whether a remittance or refund is due.
How Filing Frequency Is Determined
Filing frequency depends on a retailer’s worldwide taxable supplies (including those of associates) for the previous fiscal period or the CRA’s assessment when registering:
- Annual: Smaller registrants below certain thresholds may file annually.
- Quarterly: Common for many small-to-medium retailers; balances administrative burden and cash flow.
- Monthly: Larger retailers with significant taxable supplies typically file monthly to keep tax reporting current.
Permitted Filing Methods
Retailers can file GST/HST returns using several CRA-approved channels. Choose the method that integrates best with your accounting and point-of-sale systems to reduce reconciliation work.
- CRA My Business Account/eFile: Online filing and payment via the CRA portal or through certified software.
- Electronic Data Interchange (EDI): For large retailers and chains, EDI automates high-volume filings.
- Paper returns: Accepted in limited situations but slower and prone to errors; many retailers avoid paper filing for speed and audit trails.
Calculating Net Tax Owing
Retailers follow a straightforward formula on the RT return: total GST/HST collected on taxable sales minus eligible ITCs equals net tax. Key considerations:
- Taxable and exempt supplies: Make sure sales subject to GST/HST are correctly identified; exempt items are excluded from tax collected but affect input claim eligibility.
- Prorated ITCs: If purchases are for both taxable and exempt activities, allocate ITCs reasonably and consistently.
- Adjustments: Returns must reflect credit memos, returned goods, bad debts and other post-sale changes that change tax liability.
Payment Options And Deadlines
Remittances for the RT account are due on or before the filing due date. Retailers can make payments electronically through the CRA, financial institutions, or through pre-authorized debit arrangements. Late payments incur interest and may trigger penalties for repeated late filing or non-payment.
Recordkeeping And Supporting Documentation
Maintain supporting documents for at least six years (or longer if asked by the CRA). Records should link sales, tax collected, purchases and ITCs. For retailers this typically includes point-of-sale reports, supplier invoices showing GST/HST, import documents where applicable, and inventory cost records.
Common Adjustments And How To Report Them
- Returns and allowances: Reduce previously reported sales and tax collected; include on the current return as adjustments.
- Bad debt relief: If a sale becomes uncollectible, the retailer may be able to adjust previously remitted GST/HST.
- Timing differences: Cash vs. accrual accounting impacts when tax is reported—choose and apply a consistent method and disclose if required.
In short, the GST/HST Account (RT) is the CRA program account retailers use to report and remit tax. Select the correct filing frequency, use compatible filing methods, keep complete records and apply adjustments consistently to avoid penalties and maximize allowable ITCs.
