Missing ASN

Definition

A shipment for which the required advance shipment notice was not received.

Overview

Missing ASN A shipment for which the required advance shipment notice was not received. Retailers and their supplier networks should treat a missing ASN as an exception — with a documented, repeatable response that protects inventory integrity, minimizes dock disruption, and preserves customer service levels.

Immediate Actions On Dock Arrival

When a trailer arrives and the expected ASN is absent, receiving should follow an established checklist rather than ad-hoc decisions. That checklist should include confirmation of PO and carrier records, taking physical counts, scanning pallet-level identifiers (SSCC or barcodes), and creating a temporary inbound record in the WMS with exception codes. The aim is to create a traceable record so stock can be used or held safely while the data gap is cleared.

Standardized Receiving Checklist

  • Verify Documents: Check BOL, packing list, and PO numbers against the expected inbound schedule.
  • Scan Identifiers: Capture pallet and carton barcodes to link physical cartons to a temporary record.
  • Create Provisional Receipt: Enter a hold-coded receipt in the WMS to avoid premature allocations.
  • Record Exceptions: Note discrepancies, damages, and missing documentation in the WMS and TMS as applicable.

Communication And Escalation Rules

Structured communication reduces resolution time. The receiving clerk should immediately alert the inbound planner and EDI/Integration team. The EDI team then contacts the supplier with specifics: PO number, carrier, BOL number, and SSCCs captured on the dock. If the supplier confirms an omission or a failed transmission, they should re-issue the ASN and include any corrections required to match the physical shipment.

WMS Reconciliation And Data Correction

After the supplier re-sends the ASN, the WMS must reconcile the provisional receipt with the ASN data. This often requires matching SSCCs or carton-level barcodes to the ASN’s carton contents. If quantities differ, the system should surface automatic tolerance-based actions — for example, auto-accept small variances and flag larger discrepancies for physical recount and supplier claim.

Who Pays And Who Documents

Responsibility depends on contractual terms. Suppliers are typically required to transmit ASNs and may face chargebacks when they fail to do so. The retailer must document the missing ASN incident in its chargeback system with recorded timestamps and cost impacts (overtime, rework, additional handling). Maintaining a log of missing ASN events helps when negotiating recurring supplier performance issues.

Operational KPIs To Track

  • ASN Compliance Rate: Percentage of inbound shipments with a valid ASN received before arrival.
  • Dock Time Per Exception: Average unloading and processing time when an ASN is missing versus normal runs.
  • Chargebacks Issued: Number and value of penalties assessed to suppliers for missing ASNs.
  • Reconciliation Time: Time from dock arrival to WMS reconciliation after ASN is received.

Process Design To Reduce Recurrence

Preventing missing ASNs is cheaper than fixing them. Design your supplier onboarding and routing guides to specify ASN timing (for example, ASN must be transmitted within X hours of shipment pick-up) and required data elements (PO match, SKU-level carton counts, SSCCs). Automate failover notifications so that if an ASN isn’t received within an agreed window, both parties receive automated alerts to resolve the issue before arrival.

Technology And Automation Tips

  • EDI Monitoring: Use an EDI gateway that flags missing or failed 856 transactions and generates alerts linked to scheduled shipments.
  • WMS Integration: Ensure the WMS can accept provisional receipts and reconcile automatically when the ASN arrives.
  • Carrier Portal Integration: Integrate TMS or carrier portals to cross-reference carrier manifests when ASN is absent.
  • Audit Trail: Keep a timestamped audit log of communications, scans, and system events for chargeback justification.

Practical Example Of The Procedure

Suppose a retailer expects a palletized shipment tied to PO 4567 that shows up without an ASN. Receiving confirms the PO on the BOL, scans the SSCCs, and creates a provisional receipt in the WMS flagged as "ASN missing." They notify the EDI team, which contacts the supplier. The supplier re-sends an ASN with a corrected PO reference. The WMS matches SSCCs to the newly received ASN and clears the exception; the retailer then updates the chargeback log and notes the incident in the supplier scorecard for follow-up.

In short, the Missing ASN should trigger a defined, documented response that preserves inventory accuracy and minimizes operational disruption. A combination of clear procedures, monitoring, and supplier governance keeps these exceptions from repeatedly impacting service and cost.
