Markdown Deduction

Definition

A deduction taken to recover supplier-funded markdown support.

Overview

Markdown Deduction is a deduction taken to recover supplier-funded markdown support.

Accurate calculation and timely reconciliation of markdown deductions protect supplier margins and preserve retailer-supplier relationships. The process combines merchandising rules (which SKUs and dates qualify) with transactional measurement (POS data, ticket history, unit counts). A repeatable method reduces disputes and speeds payment recovery when suppliers fund promotions or price reductions.

Step-By-Step Calculation Method

Start from the promotion terms: agreed price, baseline price, funding percentage, and eligible dates. Then use POS or sales data to compute the net promotional impact. The basic formula is straightforward:

  • Baseline Price: The agreed regular price before promotion.
  • Promoted Price: The price charged during the markdown window.
  • Units Sold: Qualified units sold within the agreed promotion period.
  • Supplier-Funded Amount: (Baseline Price − Promoted Price) × Units Sold × Funding Percentage.

Example: If baseline price is $50, promoted price $35, units sold 1,000, and supplier funds 100% of the markdown, the supplier-funded amount equals (50 − 35) × 1,000 × 1.00 = $15,000.

Data Sources And Required Proof

Retailers should provide evidence that permits suppliers to validate deductions quickly. Typical proof packages include:

  • POS Sales Detail: SKU-level transactions showing date/time, store, quantity, and price.
  • Ticket Images: Price tags or shelf label evidence that shows the promotion price was posted.
  • Promotion Brief: The original agreement describing eligible SKUs, dates, and funding mechanics.

Practical Reconciliation Workflow

Suppliers should reconcile deductions on a scheduled cadence (weekly or monthly depending on volume). A recommended workflow:

  • Import Deduction File: Receive remittance advice or deduction file from the retailer with promo identifier and amounts.
  • Match To Promotion: Match deduction to the promotion brief and internal promotion reports.
  • Validate POS: Cross-check retailer POS detail against internal sell-through and inventory movement.
  • Raise Disputes Fast: If discrepancies exist, submit a dispute with specific evidence and reference to the retailer's dispute window.

Automation And Tools That Help

Large suppliers and retailers use EDI, promotion management modules, and shared data lakes to automate deduction calculation and evidence exchange. Promotion codes at POS simplify matching; EDI 810/812 remittance formats can carry deduction details; and shared cloud folders standardize documentation delivery.

Common Reconciliation Challenges

Problems commonly slow reconciliation: mismatched promotion identifiers, time-zone or date-boundary differences, returns that retroactively affect units sold, and rounding or tax treatment differences. Agreeing on rules for returns (whether they reduce qualifying units) and for handling exchanges prevents repeated disagreements.

Best-Practice Checklist

  • Agree Promotion Codes: Use unique IDs for each promotion and ensure those codes are present in POS and remittance files.
  • Define Returns Policy: State whether returned units are deducted from qualifying sales and how they affect reimbursement.
  • Set Timelines: Define when deductions will be applied and the window for disputes.
  • Standardize Evidence: Specify the exact POS fields and file formats required for validation.

In short, the Markdown Deduction is calculated by multiplying the per-unit price difference by qualifying units sold and adjusting for the agreed funding share; automation, standardized promotion tagging, and predefined dispute timelines make reconciliation routine rather than contentious.
