Overview

Proper configuration ensures vendors submit accurate ASNs and labels, use approved routing, and attach required compliance documents so receiving is predictable and auditable.


Configuration starts with clear inbound requirements and ends with validation, testing, and governance. The portal is the enforcement point for data rules (e.g., required serial or lot fields), label templates, and routing logic. A well-configured portal reduces manual corrections at the dock and speeds release for regulated shipments.


Configuration Checklist


  • Define Required Fields: Specify mandatory ASN fields (PO, item ID, GTIN/UPC, quantity, unit of measure, lot/serial where applicable).
  • Label Templates: Install buyer-approved label formats (GS1-128, SSCC) and enforce print drivers or PDF generation for consistent output.
  • Document Uploads: Require specific document types (COO, SDS, quality certificates) and set file-type and size limits.
  • Routing Rules: Configure carrier selection rules or routing request workflows when buyers control carriers or require pre-approval.
  • Data Translations: Map portal fields to the buyer’s WMS/TMS formats (EDI 856, XML, API payloads).


Data Validation Rules


Implement multi-level validation: client-side input checks for obvious errors, server-side syntactic validation for formats, and business-rule validation against buyer master data (SKU existence, allowed packaging configurations). Reject or flag submissions that fail validation and return actionable error messages.


User Roles, Permissions, And Audit Trails


Assign roles for submitters, approvers, and administrators. Limit critical actions (final ASN submission, label template changes) to higher-permission roles. Maintain immutable audit trails: who submitted, who modified, timestamps, and rejection reasons for compliance and dispute resolution.


Handling Exceptions And Noncompliant Submissions


Define exception workflows: automatic hold and notification for missing SDS or mismatched item IDs, manual review queues for disputed quantities, and clear escalation paths. Integrate the portal with email or messaging so vendors and buyer planners receive immediate feedback and can resolve issues before shipment.


Testing, Rollout, And Training


  • Sandbox Testing: Offer vendors a sandbox to submit test ASNs and print labels; validate end-to-end translation into your WMS/TMS.
  • Phased Rollout: Start with a pilot group and gradually expand by vendor profile or product category to manage exceptions.
  • Vendor Training: Provide step-by-step guides, sample files, and a helpdesk window during the first 90 days after go-live.


In short, the Vendor Portal must be configured with precise field rules, label templates, routing logic, validation, and user permissions so vendors reliably submit ASNs, labels, routing requests, and compliance documents that integrate cleanly with receiving operations.
