Line Sheet

Definition

A wholesale selling document listing a brand’s products, item details, pricing, and ordering information.

Overview

Line Sheet A wholesale sales document presenting products, wholesale prices, SKUs, variants, ordering details, and commercial terms. Creating one that converts requires combining accurate product data, clear ordering rules, and a layout optimized for quick decision-making.

Begin with the essentials and design for the buyer's workflow. Buyers scan for SKU, price, MOQ, and availability. If they can import data directly into procurement software, conversion friction disappears. Building a line sheet is both content and data engineering: the visual PDF must be human-friendly and the spreadsheet export must be machine-friendly.

Step-by-Step Creation Checklist

  • 1. Inventory And Identifier Audit: List every SKU, variant, GTIN/UPC, and internal style number. Ensure consistency and remove duplicates.
  • 2. Define Commercial Terms: Decide MOQ, net terms, lead time, sample policy, freight terms, and return conditions; keep these stable and explicit.
  • 3. Pricing Structure: Add wholesale price, suggested retail price (if used), and any tiered discounts for volume. Round prices to predictable increments for easier buyer math.
  • 4. Select Visuals: Choose one clean, true-to-product image per SKU. Avoid heavy lifestyle shots; buyers value clarity over aspirational layouts.
  • 5. Create a Human-Readable PDF: Design a one- or two-page PDF with header info (brand, contact, effective date), a product grid, and a terms block. Use legible typography and consistent alignment.
  • 6. Produce a Machine-Readable Export: Prepare an Excel or CSV with columns for SKU, style name, GTIN, wholesale price, MSRP, size, color, pack quantity, and lead time. Validate import into a buyer’s sample system if possible.
  • 7. Version Control and Distribution Plan: Add an "Effective Date" and document revision number. Store master files centrally and track who has received older versions.

Layout And Design Best Practices

  • Header Block: Brand name, season/collection, rep contact, email, and phone. Include the effective date and revision number.
  • Product Grid: Columns for image, SKU, brief description, wholesale price, MSRP, and variants. Keep rows tight — buyers scan left to right.
  • Terms Block: Prominently display MOQ, lead time, payment terms, shipping terms, and sample costs on the first page.
  • File Naming: Use a predictable file name such as Brand_LineSheet_2026-10_v2.pdf so buyers can archive versions easily.

Data Fields To Prioritize

  • SKU/Style Number: Primary identifier for both buyer and seller systems.
  • GTIN/UPC: If applicable, these enable barcode scanning and system imports.
  • Variant Mapping: Map size and color to each SKU explicitly rather than listing variants in a paragraph.
  • MOQ and Pack Size: State the pack quantity and whether units can be broken for orders.
  • Lead Time: Express in business days or weeks and indicate if it changes seasonally.

Distribution And Follow-Up Tactics

Email the PDF and attach the CSV for buyers who prefer an import. During trade shows, have printed copies for quick reference and a tablet-ready spreadsheet for instant digital transfer. Follow up with a short email restating key terms and inviting questions; include a one-click link to place an order or request a pro forma invoice.

Measuring Conversion And Iterating

Track metrics: how many recipients download the PDF, how many request samples, and how many submit orders referencing the line sheet. If buyers repeatedly ask the same clarifying questions (e.g., about pack sizes or lead times), update the line sheet to remove that friction. A/B test two layouts: one image-heavy and one data-first — compare quote-to-order ratios.

Tools And Templates

  • Spreadsheets: Use Excel or Google Sheets for CSV exports and to generate PDF exports programmatically.
  • Design Tools: Use simple layout tools (InDesign, Affinity Publisher, or Canva) for the human PDF; avoid complex templating that makes quick edits slow.
  • Wholesale Platforms: If you sell via a B2B portal (wholesale site, marketplace), sync your line-sheet CSV to the product feed so buyers can place orders online directly.

Common Pitfalls And How To Avoid Them

  • Outdated Pricing: Prevent by locking price changes behind version numbers and notifying buyers of updates rather than silently replacing files.
  • Unclear Variant Mapping: Use tables not prose; list each SKU row-by-row with explicit color and size fields.
  • Missing Contact Data: Place contact details at the top and again near the order terms so buyers always know how to reach the rep.

In short, the Line Sheet converts when it balances accurate, importable data with a human-readable layout that answers buyer questions at a glance. Build both a PDF for human review and a CSV/Excel for system import, maintain strict version control, and iterate based on buyer feedback to keep orders flowing.
