Step 1 — Map Inputs And Stakeholders

Clarify which teams will act on ETA changes and what systems they use (WMS, TMS, yard management system, appointment scheduler).
Step 2 — Choose Your Integration Pattern
- Direct API/Ingest: Integrate directly with major carriers and telematics to get near real-time ETAs.
- Adapter/Middleware: Use an integration layer that normalizes EDI/API formats and provides a single ETA stream.

Step 3 — Define Reforecasting Rules
Standardize how ETAs update and when they trigger actions. Example rules: if ETA moves by less than 15 minutes, do not change assignments; if ETA slips 60+ minutes, send an exception to receiving and reschedule the appointment. Use confidence scores from telematics or historical carrier performance to weight actions.
Step 4 — Integrate With WMS And Yard Systems
Push ETA windows into the WMS so pick/putaway assignments consider upcoming docks. Update yard management to pre-position trailers and prioritize yard checks based on approaching high-priority ETAs. For facilities using slotting logic, ensure inbound volume spikes are visible to planners so outbound waves remain on schedule.
Step 5 — Automate Notifications And Workflows
Create automated workflows: SMS or portal alerts to drivers for changing appointments, system tasks for receiving when an inbound is within X minutes, and escalation paths for repeated carrier unreliability. Reduce manual calls by letting the system handle routine reschedules and only surfacing exceptions.
Step 6 — Measure And Improve
- Key Metrics: Dock wait time, average on-dock processing time, ETA accuracy (predicted vs actual), percent of arrivals within appointment, and labor utilization.
- Feedback Loop: Use carrier scorecards and retroactive analysis to refine ETA prediction models and to negotiate improved data feeds with carriers.
Common Pitfalls And How To Avoid Them
- Over-automation: Automating every ETA update without confidence thresholds creates noise—use filters.
- Poor Data Quality: Garbage in, garbage out—validate carrier feeds and normalize timestamps and time zones.
- Siloed Stakeholders: Ensure transportation and warehouse teams share dashboards and SLAs.
