Restricted Catalog

Definition

A catalog visible or orderable only by specified customers, accounts, markets, or buyer groups.

Overview

Restricted Catalog A catalog visible or orderable only by specified customers, accounts, markets, or buyer groups.

Implementing restricted catalogs requires coordinated configuration across commerce, identity, pricing, and fulfillment systems. This checklist targets merchants, 3PLs, and platform integrators preparing to roll out customer-specific catalogs. It focuses on practical steps, validation, and the data flows needed to keep assortments, prices, and compliance aligned with account identity.

Pre-Implementation: Business Rules And Data Mapping

  • Define Access Rules: Decide whether access is by customer group, account number, market, geolocation, or a combination.
  • Map Pricing Sources: Identify whether prices come from ERP contracts, platform price lists, or manual overrides.
  • Assortment Strategy: Specify which SKUs belong in each restricted view and document packaging or min-order differences.

Technical Components To Configure

  • Authentication: Implement account-level login, SSO, or API credentials that carry identity attributes.
  • Authorization Logic: Configure the commerce platform to resolve identity attributes into catalog rules at session start.
  • Price And Catalog Sync: Ensure ERP/CPQ updates flow into the platform; synchronize price list effective dates and versioning.
  • Localization Controls: Use market settings and tax/regulatory flags to prevent prohibited SKUs from appearing in certain geographies.

Integration And Data Flow Checklist

  • Single Source Of Truth: Use CRM or ERP account fields (customer type, allowed channels, contract ID) as authoritative identity attributes.
  • Real-Time Or Near-Real-Time Sync: Decide on push vs pull for price updates—contract pricing changes must propagate quickly to prevent mismatches.
  • Audit Trails: Log catalog decisions (who saw what and when) for dispute resolution and compliance.

UX And Messaging Recommendations

Design the storefront so restricted buyers receive clear messaging. When a product is hidden, present alternatives or a call-to-action (request access, contact sales). For buyers with mixed access, ensure the cart and checkout clearly reflect which items are contract-priced and which are public-priced to avoid confusion at invoicing.

Fulfillment And Warehouse Impacts

Restricted catalogs often imply different packing and pick instructions. Coordinate with 3PLs to ensure that account-specific SKUs map to correct fulfillment SKUs and labels. If restricted assortments include bulk-only items, verify that pick-face and replenishment rules reflect bulk pack sizes to prevent mispicks and returns.

Testing And Launch Plan

  • Pilot Group: Launch to a small set of accounts to validate access control and fulfillment flows.
  • End-To-End Tests: Validate login → catalog view → add-to-cart → pricing → checkout → ERP invoice flow.
  • Fallbacks: Define behavior if pricing sources fail (e.g., block ordering, display offline message, or default to list price).
  • Rollback Plan: Keep the ability to quickly revert catalog rules if a critical error is detected post-launch.

Operational Governance

Establish a cross-functional owner for restricted catalogs: commercial for rules, ecommerce for technical configuration, and operations for fulfillment implications. Agree on a change-control process for price and assortment updates, and schedule periodic audits to reconcile what buyers can see versus contract entitlements.

In short, the Restricted Catalog requires planning across identity, pricing, and fulfillment systems. Use a staged rollout, keep a single authoritative source for account attributes, and automate synchronization to protect margins and ensure a predictable buyer experience.
