Do Not Clamp

Definition

A warning that clamp handling should not be used on the package.

Overview

Do Not Clamp A warning that clamp handling should not be used on the package. Implementing this warning effectively requires clear labeling, recordkeeping in transport documents and warehouse systems, staff training, and communication with carriers and customers so the instruction is honored throughout the supply chain.

Labels alone do not guarantee compliance. For the instruction to work operationally you must cascade it through the shipment lifecycle: apply durable visual labels at packing, include handling instructions on the bill of lading and ASN, set flags in the WMS/TMS, and train inbound/outbound staff to recognize and follow the instruction. When labels conflict with the available equipment or timelines, an escalation and approval process prevents ad-hoc clamp use.

Best Practices For Label Design And Placement

  • Visibility: Apply the label to two opposing sides of the pallet or package so it’s visible regardless of orientation.
  • Contrast And Size: Use high-contrast colors and a minimum size that meets your operational reading distance; include both text and a simple icon where possible.
  • Durability: Use weatherproof adhesive labels or tags if the shipment will be exposed to moisture or outdoor loading.

Documenting The Instruction In Systems

Record the Do Not Clamp instruction in every system that touches the shipment. Add a handling code to the ASN/EDI 856, mark the bill of lading, and set a WMS/TMS flag that appears on pick lists and mobile devices. Integration eliminates reliance on paper labels alone and reduces human error when shipments transfer between partners.

Carrier And 3PL Communication

  • Pre-Advice: Notify carriers at booking and on the shipping instructions so they can choose equipment and personnel accordingly.
  • Bill Of Lading: Place the instruction on the BOL and sign-off fields so carriers acknowledge the handling requirement.
  • Escalation Contacts: Provide a named contact and a handling plan on the shipping paperwork when the load demands special care.

Training And Enforcement

Train forklift operators and dock staff to spot the marking and follow escalation protocols. Include examples during toolbox talks and annual refreshers. Enforcement is mostly administrative: document when instructions are ignored, photograph non-compliant handling, and route claims through your contract terms. Use non-conformance reports to correct recurring failures and update SOPs where confusion is common.

Dealing With Non-Compliance

  • Immediate Action: Stop handling the unit, notify a supervisor, and document the incident with photos and timestamps.
  • Containment: Quarantine damaged goods and evaluate for repack or return to shipper.
  • Claims Process: Use the documented BOL and WMS flags as evidence when filing carrier or insurance claims.

Packaging And Engineering To Reduce Need For The Label

Where possible, work with suppliers to design packaging that tolerates clamp handling: add rigid edge protectors, reinforce corners, or use pallets engineered to keep clamp pressure off product faces. Re-engineering packaging may reduce logistic complexity and lower costs associated with special handling.

Checklist For Shippers And Warehouses

  • Shipper Checklist: Apply visible labels, include handling codes on the ASN and BOL, and notify carriers of special requirements at booking.
  • Warehouse Checklist: Flag the load in WMS/TMS, assign fork-capable movers, train staff, and document handling choices at receipt.
  • Carrier Checklist: Confirm handling requirements at pickup, use appropriate attachments, and escalate if clamp equipment is the only option.

In short, the Do Not Clamp instruction is effective only when combined with durable labels, system flags, clear carrier communication, and enforcement through training and documentation. Implement these controls to protect product integrity and reduce the operational and financial costs that follow clamp-related damage.
