Expiration Date

Definition

A date printed or labeled on a carton or product to communicate the event or time reference described by 'Expiration Date'.

Overview

Expiration Date A date printed or labeled on a carton or product to communicate the event or time reference described by 'Expiration Date'.

Operational control of expiration dates separates high-performing fulfillment centers from those that lose margin to spoilage and regulatory penalties. Managing expiration dates is both a systems problem (WMS/WCS/TMS configuration, barcode standards) and a people problem (receiving accuracy, picking discipline, and supplier coordination).

Key System Requirements

  • Expiration Field In WMS: The WMS must store expiration date and lot data at the pallet, case, and serial level as required.
  • Barcode Support: Support GS1-128 and datamatrix to capture Gtin+Lot+Exp in a single scan.
  • Rules Engine: Automated FEFO allocation, pick selection, and alert thresholds for near-expiration stock.

Receiving And Staging Practices

At receiving, clerks should scan all cartons and validate expiration dates against the expected shelf life. Configure the WMS to reject or quarantine receipts with missing or unreadable expiration data. Stage inventory by expiration window so pickers encounter earliest-expiry stock first and replenishment uses the same grouping.

Picking, Packing, And Shipping Controls

  • FEFO Picks: Enforce FEFO by filtering pick locations to those containing the earliest expiration dates for the SKU.
  • Pick Verification: Require the scanner to confirm the lot and expiration before packing, preventing manual overrides that skip FEFO logic.
  • Packing Documentation: Include expiration date on packing lists for regulated customers and for traceability in returns or recalls.

Returns, Quarantine, And Disposition Processes

Establish a quarantine workflow: returned items or discovered past-expiration stock should be tagged, isolated, and routed for supplier credit, destruction, or donation per contract and regulation. Maintain a disposition log with reason codes, photos, and approvals to support audits and supplier chargebacks.

Cross-System Traceability And Recalls

Ensure ERP, WMS, and any traceability systems share lot and expiration data in real time. In a recall, you must map sold units back to lots and expiration dates quickly. Maintain event logs for receiving, picking, and shipping that include scanned lot and expiration fields to speed investigations.

Training, KPIs, And Continuous Improvement

  • Training: Teach staff how to interpret different date formats and the operational difference between safety and quality dates.
  • KPIs: Track spoilage rate (value lost per period), expedited replenishment costs due to expiration, and on-time quarantine handling.
  • Root Cause Analysis: Investigate frequent short-dated receipts—require suppliers to improve shipping windows or date labeling.

Practical Tips For Reducing Waste

  • Supplier Agreements: Require minimum remaining shelf life at receipt (e.g., 70% of total shelf life remaining) to avoid accepting near-expired product.
  • Markdown And Redistribution: Automate discounting and route-to-donation rules for items approaching expiration to recover value.
  • Container Rotation: Use visible shelf tags and forward staging for short-date items to aid manual checks during audits.

In short, the Expiration Date must be treated as a first-class data element in fulfillment operations. Combine WMS capability, clear processes, supplier controls, and staff training to reduce spoilage, comply with regulations, and keep product safe for customers.
