Past Due

Definition

The status of an invoice or balance that has not been paid by its contractual due date.

Overview

Past Due The status of an invoice or balance that has not been paid by its contractual due date. Managing these balances in retail requires a repeatable workflow that balances cash recovery with customer relationships.

Retailers that rely on accounts receivable for working capital must treat past-due invoices as a process problem. Effective management reduces days sales outstanding (DSO), lowers the need for external financing, and prevents small arrears from becoming disputed claims or bad debt.

Design A Staged Collections Workflow

Structure collections into stages tied to aging buckets. Typical stages are automated reminders, personal outreach, credit restrictions, negotiated payment plans, and external collection or legal action. Each stage should have clear ownership, timing, and scripts or templates for consistent communication.

What Each Stage Should Do

  • Label: 0–7 Days Past Due — send automated reminder emails including invoice copy and payment instructions.
  • Label: 8–30 Days Past Due — place a courtesy call from AR to confirm the payment date and identify disputes.
  • Label: 31–60 Days Past Due — impose shipment holds and escalate to the credit manager; offer short-term payment arrangements if appropriate.
  • Label: 61–90+ Days Past Due — escalate to external collections or legal if negotiations fail and internal policies allow.

Technology And Data Practices

Use accounting or ERP systems to automate aging reports and reminders. Integrate payment portals (ACH, card, pay-by-link) to remove friction for customers. Maintain a single source of truth for invoice status so sales, customer service, and warehouse staff do not send mixed messages to the buyer.

Coordination Between Teams

Collections success depends on aligning AR, sales, and operations. When a past-due account also has pending orders, sales must be involved in risk decisions. Operations should be notified of credit holds to avoid shipping goods that increase exposure.

Handling Disputes Versus Uncontested Past Due Balances

Separate amounts under good-faith dispute from uncontested past due balances. For disputed items, establish timelines for resolution and temporary holds on interest or fees. For uncontested balances, apply late fees per your terms and escalate as needed. Document every step to support potential legal or collection actions.

Practical Checklist For Retail AR Teams

  • Label: Review aging daily — focus on high-value accounts moving into past-due buckets.
  • Label: Confirm remittance addresses and payment methods on every invoice.
  • Label: Use clear invoice terms — indicate due date, late fee policy, and contact for disputes.
  • Label: Keep communications professional — preserve customer relationships while pursuing payment.
  • Label: Escalate consistently — have defined thresholds for holds, payment plans, and external collection.

When To Use External Collections

External collectors or attorneys are typically engaged after internal efforts fail or when balances exceed an internally defined material threshold. For retail suppliers, factor the cost of recovery and the strategic value of the customer; sometimes a negotiated partial payment is more economical than litigation.

In short, the Past Due label should trigger a documented, staged response that combines automation, human contact, and cross-functional coordination. A disciplined workflow reduces DSO, preserves margins, and protects supply continuity for retailers and their trading partners.
