Weather Sensitive

Definition

A warning that the package contents are sensitive to weather and require appropriate protection.

Overview

Weather Sensitive A warning that the package contents are sensitive to weather and require appropriate protection.

Packing for weather sensitivity means selecting barriers and procedures that stop water, humidity, UV and temperature extremes from reaching the product during every leg of the supply chain. The right approach depends on the product, transit time, climate exposure and the carrier's handling profile. This article provides practical steps warehouses and 3PLs can put into SOPs so weather-exposed damage is minimized.

Step 1 — Risk Assessment

Identify the type of weather threat: precipitation, humidity, sunlight, or temperature. Record acceptable exposure thresholds (e.g., no direct water contact; avoid sustained temperatures above 40°C). Use historical routing and seasonal weather data to understand likely exposure during transit.

Step 2 — Choose Packaging Layers

  • Primary Packaging: The immediate container around the product — make it moisture-resistant if the product surface is vulnerable.
  • Secondary Packaging: Add an inner liner, sealed bag, or vapor barrier to stop humidity penetration.
  • Tertiary Packaging: The outer shipping box or pallet wrap; use waterproof pallets caps or shrink-wrap for outdoor hold risk.

Step 3 — Add Passive Controls

Use desiccants to control humidity inside sealed packages. For moderate thermal protection, insulated liners or reflective outer coverings can reduce thermal gain. For high-value items, consider phase-change materials or refrigerated units coordinated with the carrier.

Step 4 — Labeling And Documentation

  • Clear Label: Affix a visible "Weather Sensitive" label along with handling instructions such as "Keep Dry" or "Keep Out Of Sun."
  • Instruction Sheet: Include handling instructions with the shipment and in electronic tender notes to carriers.
  • Proof Of Protection: Record the packing materials used in the WMS for audit and claims support.

Step 5 — Warehouse Controls

Establish dedicated indoor packing areas with quick access to weather-rated materials. Use covered staging lanes and covered dock doors for any outbound weather-sensitive shipments. During severe weather forecasts, defer non-urgent shipments or reroute through terminals with covered handling.

Step 6 — Carrier Coordination

Tell carriers about weather sensitivity during tendering and record the requirement on the BOL or electronic manifest. If a shipment will traverse open trailers, request enclosed equipment. For last-mile deliveries in heavy rain or snow, include instructions so carriers will shelter the parcel until handoff.

Inspection, Claims And Continuous Improvement

On receipt, train customers and receiving docks to inspect for water stains, dampness, or temperature effects and to note anomalies on the proof of delivery. Track claims data to identify packaging failures and refine materials or routing decisions over time. Use periodic destructive and environmental testing (per ASTM or ISTA protocols) when launching new packaging systems.

Practical Example

A cosmetics brand ships bottled lotions that are sensitive to UV and heat. The fulfillment SOP requires an opaque inner sleeve, sealed film around the bottle cap, and shrink-wrapping inside a single-wall corrugated box with insulating kraft liner. For summer shipments, the WMS triggers an elevated handling code: use insulated liners and prioritize 48-hour transit with enclosed trucks.

Quick Checklist For Pack Stations

  • Station Setup: Weather-rated film, desiccants, insulated liners, labeling stock and the WMS packing checklist available.
  • Packing Steps: Verify primary packaging, insert desiccant if needed, apply sealed inner liner, close outer box, apply "Weather Sensitive" label.
  • Stage And Load: Keep shipments under cover and load into enclosed trailers; document any outdoor exposure.

In short, the Weather Sensitive warning should trigger a documented chain of protective steps — from risk assessment to layered packaging, labeling and carrier coordination — so products survive exposure during storage and transit without unnecessary cost or delay.
