Claim Documentation

Definition

Records required to support a customer, marketplace, carrier, insurance, or payment claim.

Overview

Claim Documentation Records required to support a customer, marketplace, carrier, insurance, or payment claim. Preparing an effective claim package requires tailoring the evidence to the recipient (carrier, insurer, marketplace or payment processor) and following their timelines and format requirements.

Initial Steps Immediately After An Incident

Act quickly. For damage or loss incidents, the earlier you capture evidence the stronger your case. If a customer reports damage, instruct them to preserve packaging and take photos. For carrier damage discovered at delivery, note damage on the delivery receipt (or capture carrier delivery scan screenshot) and request a carrier inspection if required.

Document Package Contents By Claim Type

Different claim recipients prioritise particular evidence types. Prepare a modular package so you can assemble the right files fast.

  • Carrier Claims: Bill of lading or airway bill, tracking number, carrier claim form, invoice showing value, outbound packing photos, damage photos, and any freight inspection reports.
  • Insurance Claims: Insurance policy number, proof of loss statement, commercial invoice, mitigation steps, photos, police report (for theft), and a detailed loss valuation worksheet.
  • Marketplace Claims/Reimbursements: Order history, tracking, communication transcript with buyer, inbound photos (if buyer returned item), proof of shipment and proof of settlement (to show if marketplace already compensated buyer).
  • Payment Chargebacks: Transaction receipt, proof of delivery or return, refund policy displayed at point-of-sale, and signed authorisation where applicable.

Formatting And Submission Best Practices

Follow these practical steps to reduce back-and-forth with the claims handler.

  • Standard File Naming: Use consistent names (Order_12345_POD.pdf; Order_12345_Photos.zip) to help reviewers find items.
  • Single Package PDF: Combine related docs into a single PDF when the recipient supports it — many insurers and marketplaces prefer consolidated files.
  • Include A Cover Letter: Briefly summarise the incident, dates, order number, claimed amount, and a list of attached documents.
  • Respect Deadlines: Note carrier and marketplace claim filing windows (often 7–30 days) and submit within those periods.

Valuation And Evidence For Loss Amounts

Claims require a clear, auditable calculation of loss. Use invoices, replacement cost quotes, and depreciation rules when applicable. For freight claims, include a calculation sheet showing declared value, net loss, and supporting invoices for partial losses. Keep currency conversions and taxes transparent.

Common Pitfalls And How To Avoid Them

  • Poor Photo Quality: Blurry or late photos are often rejected — insist on clear, time-stamped images taken at multiple angles.
  • Missing Chain Of Custody: Gaps between warehouse handover and carrier pickup create doubt — ensure handover scans and carrier pickup confirmations exist.
  • Inconsistent Records: Mismatched quantities or SKUs between invoice, pick list and packing slip weaken claims — reconcile before submission.

Post-Submission Follow-Up

Track the claim through the recipient's portal and maintain a log of all interactions. If the claim is denied, request a written reason and the next appeal steps. Use denial reasons to close process gaps (e.g., missing photos or late submission) and update SOPs accordingly.

In short, the Claim Documentation you prepare must match the recipient’s evidence needs and be organised, time-stamped and reconciled. Use standardised packages, clear naming, and fast submission to increase the odds of reimbursement from carriers, insurers, marketplaces and payment processors.
