Evidence Submission

Definition

The process of sending transaction records and supporting documentation in response to a dispute.

Overview

Evidence Submission The process of sending transaction records and supporting documentation in response to a dispute. Preparing that submission for eCommerce requires coordination between payments, operations, customer service, and IT to make the packet complete, readable, and timely.

Preparation is a repeatable process: identify the reason code, map the required evidence fields, collect supporting documents, format files to the acquirer’s requirements, and transmit before the network deadline. Automating parts of this workflow reduces human error and shortens the time between dispute notification and representment.

Documents And Data You Should Collect

  • Authorization Record: Authorization code, AVS and CVV responses, and processor transaction ID.
  • Order Details: SKU, order number, itemized receipt, unit prices, discounts, and taxes.
  • Fulfillment Evidence: Carrier tracking showing delivery, proof of download or access for digital goods, or pickup confirmation for local orders.
  • Communications: All message threads with the buyer: email, chat logs, dispute-related calls with timestamps and agent notes.
  • Policy Screenshots: Checkout pages showing the buyer accepted terms, refund policy, or subscription consent.
  • System Logs: IP addresses, login timestamps, device fingerprints, and any fraud-detection indicators.

Formatting, File Types, And Submission Channels

Follow your acquirer’s required file formats and size limits — common formats are PDF for compiled documents, CSV or XML for transaction exports, and JPEG/PNG for screenshots. Keep filenames consistent and include merchant ID and case number in filenames. Use secured upload endpoints or the processor’s dispute portal; never email full PAN data or other PCI-sensitive elements.

Timing And Retention Policies

Preserve evidence immediately. Many card schemes give strict windows (often 7–30 days) to upload representment material after a chargeback notification. Maintain retention policies aligned to dispute windows plus an allowance for investigations (commonly 12–24 months or longer depending on contract and regulatory requirements).

Automation And Tools That Help

  • Dispute Management Platforms: Integrate with your payment gateway to auto-populate transaction fields and upload required documents.
  • Order Management Systems (OMS): Export order histories, fulfillment timestamps, and customer communication histories programmatically.
  • Log Aggregation: Centralize server, access, and authentication logs with consistent timestamps to retrieve evidence quickly.
  • Templates: Maintain reason-code-specific response templates to ensure no required data is missed.

Common Pitfalls And How To Avoid Them

Avoid late submissions, inconsistent timestamps, incomplete customer contact records, and poorly named or unreadable files. Ensure that redactions do not remove required data and that you comply with privacy and PCI rules. Also, don’t overload submissions with irrelevant documents — focused evidence that directly counters the reason code has higher impact.

Practical Checklist Before Submission

  • Verify: All required fields for the reason code are present.
  • Match: Customer name and billing details match the transaction log and shipping records where applicable.
  • Timestamp: Attach machine-readable timestamps and logs rather than only human-readable notes.
  • Secure: Use encrypted upload methods and follow PCI guidance for transmission.
  • Notify: Log the submission and notify customer service so they can follow up if the issuer asks for more information.

In short, the Evidence Submission process requires a repeatable, cross-functional workflow that prioritizes quality, speed, and compliance. With templates, automated extracts from OMS/payment systems, and clear retention rules, merchants can consistently produce the evidence that issuers need to fairly decide disputes.
