Wholesale Lead

Definition

A prospective business customer that may qualify to open a wholesale account.

Overview

Wholesale Lead A prospective business customer that may qualify to open a wholesale account.

Qualifying a wholesale lead reduces time-to-first-order and prevents operational surprises. A repeatable qualification process includes a quick discovery call, a documented checklist, lead scoring, credit checks where appropriate, and clear internal handoffs to onboarding, fulfillment, and billing. The goal is to accept profitable accounts that your logistics and finance teams can serve reliably.

Essential Qualification Questions

Use a short script or form to capture the facts you need to decide quickly. Useful questions include:

  • Who are you? : Company name, legal entity, and primary contact.
  • What will you buy? : SKUs of interest, expected first order, and ongoing assortment.
  • How much and how often? : Estimated order frequency and average order size (cases, pallets).
  • Where will it ship? : Ship-to addresses (retailer DCs, stores, or direct-to-consumer).
  • Payment preference?: Purchase order, credit card, or invoicing with Net terms.
  • Systems integration?: Need for EDI, API, or punch-out capabilities.

Lead Scoring Model

Scoring turns subjective judgment into objective routing rules. Assign points for attributes that predict value and ease of fulfillment:

  • Order Volume: Higher monthly spend = more points.
  • Payment Terms: Cash or creditworthy buyers score higher than unknowns requesting extended terms.
  • Integration Fit: Buyers with standard EDI setups are easier to serve at scale.
  • Geography: Within your delivery network scores higher than remote or international buyers requiring cross-border logistics.

Credit And Compliance Checks

For accounts requesting invoicing, perform a credit check (D&B, trade references) and verify business registration. For regulated products, confirm necessary certifications or import licenses. Define thresholds (e.g., credit required for accounts above $5,000 monthly) and automate checks when possible to speed onboarding.

Onboarding Workflow

A clear, checklist-driven handoff reduces errors. A typical workflow:

  • Lead Capture: Marketing or sales captures core data in CRM with qualification fields filled.
  • Initial Qualification: Inside sales verifies answers, scores the lead, and decides whether to proceed.
  • Credit & Contract: Finance runs credit checks and issues account terms or requires PO/prepayment.
  • Operations Setup: Warehouse and logistics teams configure SKU packing, labeling, and routing guidelines in the WMS/TMS.
  • Systems Integration: IT establishes EDI/API connections or provides access to a wholesale portal.
  • First Order & Review: Process a trial order, review fulfillment performance, and confirm ongoing terms.

Metrics To Track

Track metrics to refine qualification rules and measure ROI:

  • Conversion Rate: Percentage of wholesale leads that become accounts.
  • Time-To-Onboard: Days between lead capture and first paid order.
  • Average Order Value (AOV): Compare expected vs actual AOV for new accounts.
  • Chargebacks & Returns: Early spikes may indicate onboarding gaps (incorrect labels, packing).

Practical Example Of A Scoring Threshold

Score rule: Leads scoring 75+ route to senior account reps for expedited onboarding; 40–74 are nurtured by inside sales for more data; below 40 are placed into drip marketing. A lead scoring 85 (regional chain, solid credit, EDI-capable) moves rapidly through credit and operations setup and receives a pilot order schedule within 10 business days.

In short, the Wholesale Lead should be evaluated with a short checklist, objective scoring, and a documented onboarding workflow so sales, finance, and operations can convert and service business customers predictably and profitably.
