Credit Not Processed

Definition

A dispute claiming that a promised refund, return credit, or transaction reversal was not completed.

Overview

Credit Not Processed disputes assert that a promised refund, return credit, or transaction reversal was not completed. Resolving them requires a clear cross-functional checklist that brings together customer service, payments, and warehouse/returns teams to restore funds quickly and prevent chargebacks.

Use the checklist below as a step-by-step operational guide. The goal is to confirm whether a credit was issued, correct any failures, document the outcome, and communicate with the customer and issuer when necessary. Consistency in this process reduces repeated disputes and improves customer satisfaction.

Immediate Triage (Within 24 Hours)

  • Acknowledge: Send an automated acknowledgment to the customer that the dispute is being investigated and provide an expected response time.
  • Collect Key Identifiers: Get order number, transaction ID or last four digits of the card, refund reference number, and date the refund was promised.
  • Check Internal Systems: Look for a refund entry in the OMS, ERP, and payment gateway dashboard.

Technical Validation

  • Gateway Logs: Query the gateway for the refund API call, response code, and timestamp—save the raw response.
  • Acquirer Confirmation: Ask your acquirer whether a refund was received and when it was forwarded to the card networks or ACH.
  • Bank Posting: If the merchant shows a refund, request a posting trace from the acquirer or issuer showing the settlement date and reference.

Warehouse And Returns Verification

  • RMA Link: Verify the returned SKU, date received into the warehouse, and associated RMA number linked to the order/refund.
  • Inventory Adjustments: Confirm the inventory return was processed and tagged so returns and refunds match in reconciliation.
  • Photo/Proof: When relevant, attach proof of return receipt or condition photos to the dispute file.

Customer Communication Best Practices

Keep messages factual and concise. Provide the refund reference number, merchant refund date, and expected posting timeframe. If a re-issue is required, tell the customer when it will post and under what transaction reference it will appear. Avoid promising immediate bank posting times you can't control.

If The Refund Was Not Processed

  • Issue A New Credit: Re-submit the refund using the original transaction identifier or token; record the new refund ID.
  • Log The Failure: Note why the previous attempt failed (e.g., API 500, wrong token) and add the fix applied to prevent recurrence.
  • Notify The Customer: Share the new refund reference and expected posting window.

If The Refund Was Processed But Not Seen By Customer

  • Get Posting Proof: Request the acquirer to provide a posting trace or clearing message confirming the credit was delivered to the issuer.
  • Ask The Customer To Check: Suggest the customer check pending transactions, statement cycles, and to contact their bank with the provided trace info.
  • Escalate To Issuer: If posting proof exists but the customer still lacks the funds, ask the issuer to investigate posting holds or processing lags.

When A Chargeback Has Been Filed

Immediately stop any duplicate refunds and prepare a representment package: original transaction receipt, proof of delivery or return, refund attempt logs, RMA documentation, and customer correspondence. Submit evidence via the acquirer within the network-defined timeframe.

Process Improvements To Reduce Future Disputes

  • Automate Notifications: Trigger email or SMS with refund reference and expected posting date when the refund is issued.
  • Retry Logic: Implement automated retries and alerting for failed refund jobs in your payment integration.
  • Retention: Retain refund logs and API payloads for at least 120–180 days to support dispute representment.
  • Training: Train CS and warehouse staff on linking RMAs to refund transactions and on required evidence for representment.

In short, the Credit Not Processed dispute is best handled by a disciplined checklist that verifies whether a refund was issued, corrects failures, documents evidence, and communicates clearly with the customer. Fast resolution lowers chargeback risk and preserves customer relationships.
