Scheduling Options And Considerations
Pickup can be scheduled through a carrier's web portal, by phone, via an integrated TMS, or arranged by a 3PL. Choose the method that ensures the carrier receives complete details: pickup address, dock hours, contact name and phone, pallet counts, weight, dimensions, special equipment needs (liftgate, tailgate, inside pickup), and any hazardous-materials declarations.
Documentation To Prepare
- Bill of Lading: Prepare a complete BOL with shipper, consignee, commodity details, declared value, and special instructions.
- Packing List: Include piece counts and weights to speed verification.
- Labels: Affix unique shipment or SKU labels (GS1-compliant where required) visible on each pallet or carton.
- Permits/Certs: For regulated goods, have necessary permits or temperature logs available.
Packaging, Palletizing, And Staging
Secure pallet loads with stretch wrap, corner boards, and strapping to prevent movement in transit. Standardize pallet configuration to speed loading. Stage shipments at the agreed pickup point with labels facing out and blocking walkways cleared for efficient carrier access. If certain pallets require priority handling, mark them clearly and notify the carrier when scheduling.
Day-Of-Pickup Workflow
Assign a staff member to meet the carrier or be available by phone. When the carrier arrives, complete these steps: verify driver identity, present the BOL and packing list, allow carrier to inspect and count, document any exceptions, and obtain carrier signature and pickup time. Scan or photograph the signed BOL and any exception notes for records.

- WMS/TMS Integration: Push scheduled pickups from your WMS to the carrier via EDI/API to reduce manual entry.
- Electronic Proofs: Request carrier electronic proof of pickup (ePOD/eBOL) to accelerate claims handling and invoicing.
- Barcode Use: Scan pallet and carton barcodes at staging to reconcile counts before carrier arrival.
Handling Exceptions And Discrepancies
If counts or conditions differ at pickup, note the discrepancy on the carrier's paperwork and retain photos. Do not allow loading to proceed without proper exception records if you intend to pursue a claim. Communicate the exception immediately to your carrier account manager and your billing team to prevent incorrect invoicing.
