Shipment Confirmation is an update confirming that an order shipped, typically including the carrier, service level, ship date, and tracking number. For fulfillment teams the confirmation is also a communication artifact — the most common customer-facing message after purchase — and how you send it affects customer satisfaction, customer-service load, and returns handling.


Channels And Integration Patterns


Choose a channel based on customer preference and platform requirements:

  • Email: Default channel for order status; supports rich content and links to tracking pages.
  • SMS: High open rates for time-sensitive deliveries and last-mile alerts; shorter content.
  • Marketplace APIs: Platforms like Amazon and Shopify require confirmations via their APIs or order-fulfillment endpoints.
  • EDI/AS2: B2B customers and retailers may require EDI 856 (Ship Notice/Manifest) as the formal confirmation document.
  • Webhook/API Callbacks: Real-time machine-to-machine notifications for advanced OMS integrations.


What To Include In The Message


Keep messages concise but actionable. At minimum include:

  • Tracking Number And Link: Clickable link to carrier tracking for the package or freight.
  • Carrier And Service: So the customer knows transit expectations and what to search for on carrier sites.
  • Ship Date: When the order left the facility; helpful for SLA and return windows.
  • Order Reference: Merchant order ID and items shipped (or a link to order details).
  • Contact Options: Customer-service phone, chat link, or returns initiation guidance.


Timing And Triggers


Deciding when to send the confirmation balances accuracy with customer experience:

  • On Label Print: Immediate visibility; state that tracking becomes active at carrier pickup. Use when labels are generated only when shipments are ready.
  • On Carrier Pickup Scan: Most accurate but may delay customer visibility; use for high-value or regulated shipments where proof of handoff is required.
  • Staged Shipments: If an order ships in multiple pieces, send per-shipment confirmations to reduce confusion.


Formatting And Personalization Best Practices


Use structured templates that render correctly across devices and international carriers:

  • Clear Subject Line: Include the order number and the word "shipped" so inbox filters surface the message.
  • Prominent Tracking Link: One-click access reduces support calls.
  • Progressive Disclosure: Show summary details first (carrier, tracking) with a link to full shipment contents and invoice.
  • Localization: Show dates, timezones, and carrier links appropriate to the customer’s region.


Error Handling And Automation


Plan for failures and exceptions:

  • Missing Tracking: Hold the confirmation until tracking is available or send a provisional confirmation indicating tracking will follow.
  • Invalid Tracking Links: Validate links at send-time and provide carrier contact info if the link fails.
  • Automated Retries: If an API call to a marketplace or carrier fails, queue retries and alert operations after defined thresholds.

Measure the effect of confirmations on operations and CX:

  • Open And Click Rates: Shows whether customers engage with tracking links.
  • Support Tickets Per Shipment: Declines indicate effective confirmations.
  • Delivery Exceptions: Use to correlate message timing with failed or delayed deliveries.
