Relabeling

Definition

Replacing or correcting labels on products, cartons, or pallets to meet updated requirements.

Overview

Relabeling Removing, covering, or supplementing an existing label with a new label to meet updated requirements.

Operationalizing relabeling reduces errors, speeds throughput, and protects compliance. A repeatable workflow combines workspace design, approved templates, operator training, verification tools, and integration with your WMS. The goal is a traceable, auditable process that minimizes time in quarantine and avoids mislabeled shipments.

Workspace And Equipment

Locate relabeling stations near quarantine or returns areas, not on the main pick floor. Essential equipment includes thermal label printers (thermal-transfer for durable labels), label applicators (for higher volumes), barcode verifiers, spray adhesive removers or heat guns for removal tasks, and proper lighting. Provide ESD-safe surfaces if handling electronics and disposal bins for old labels and packaging waste.

Standard Operating Procedures (SOPs)

Create SOPs that cover authorization, label design, application, verification, and documentation. Include acceptance criteria for when a label can simply be covered versus when full removal or repackaging is required. Make templates available in a centralized label management system to prevent ad-hoc designs and version drift.

WMS Integration And Scanning

Link relabel actions to specific WMS transactions: a relabel job should generate a work order with item IDs, original barcode, new barcode, quantity, and reason code. Scanning post-application should update the inventory record and record operator ID and timestamp. This prevents orphaned inventory and supports audits.

Quality Assurance Checks

Introduce in-line verification where each label is scanned by a verifier that checks barcode quality and human-readable data against the expected template. Implement random audits where a supervisor inspects relabeled units and matches them to digital records. For regulated goods, retain photographic evidence of the final labeled unit attached to the WMS transaction.

Training And Authorization

Only trained staff should perform relabeling. Training should include identification of regulated goods, how to read label specifications, and when to escalate to compliance teams. Use role-based access in label-print systems so only authorized personnel can approve label templates for specific product classes.

Documentation And Change Control

Maintain a change-control log that records the reason for each relabel (regulatory, retailer request, damage), approver, and the label artwork version. For import/export or regulated items, store required declarations and authorization forms with the relabel record to produce during audits or customs inspections.

Safety And Environmental Considerations

If relabeling hazardous items, follow PHMSA and OSHA rules on label durability and placement. Ensure ventilation for adhesive removers and proper disposal or recycling of waste label materials. Consider switching to recyclable label stocks and minimizing over-labeling where practical.

KPIs And Continuous Improvement

Track metrics: average relabel job time, error rate, number of units relabeled per shift, and cost per unit. Use root-cause analysis for repeated relabel causes and feed findings to procurement or product teams to stop preventable label mismatches at source (e.g., ensuring suppliers provide the correct UPC or documentation).

Quick Implementation Checklist

  • Designate Space: Quarantine + relabeling station close together.
  • Approve Templates: Lock label templates in a label management system.
  • Integrate WMS: Create work orders and scan-to-close workflows.
  • Train Operators: Use hands-on training and competency sign-off.
  • Implement QA: Barcode verification and supervisory audits.

In short, the Relabeling workflow should be a controlled, visible process integrated with your WMS and QA practices. Standardize templates, restrict authorization, verify each barcode, and document every action to keep inventory accurate and shipments compliant.
