How To Use MPNs In Your Online Catalog: Best Practices
MPN
Definition
Manufacturer part number, a product identifier assigned by the manufacturer.
Overview
MPN A Manufacturer Part Number assigned by a manufacturer to identify a specific product or component. In catalog operations the MPN is a critical attribute for parts identification, search filtering, and post-sale support.
Implementing MPNs in your online catalog requires both technical controls and operational discipline. Because MPN formats vary by manufacturer, the practical work is in data capture, normalization, validation against manufacturer sources, and consistent exposure across sales channels.
How To Capture Reliable MPN Data
Capture MPNs from authoritative sources: manufacturer datasheets, OEM catalogs, or the manufacturer’s website. Avoid scraping third-party listings as your primary source; errors, typos, and counterfeit listings propagate quickly. For supplier catalogs, require that the supplier provide the manufacturer name and MPN explicitly in the file rather than embedding it in a description.
- Label: Source verification — prefer manufacturer documentation for import validation.
- Label: Supplier agreements — require MPN as a mandatory field in supplier feeds.
- Label: Capture provenance — store the source and timestamp for each MPN.
Normalization And Validation
Before ingesting MPNs into a master catalog, normalize them. Normalization typically includes trimming whitespace, converting to a consistent case, and removing non-significant punctuation that some suppliers add or omit. After normalization, validate the MPN against known manufacturer ranges or documented part lists where available.
Automated validation reduces front-line support tickets: if an incoming MPN doesn’t match known patterns for the declared manufacturer, flag it for manual review rather than publishing immediately.
Where To Surface MPNs
- Label: Product title — include the MPN when it’s commonly used by buyers (e.g., electronics, automotive parts).
- Label: Item specifics / attributes — place MPN in a separate attribute field so channels can index and match against it.
- Label: Technical datasheets — include the MPN in downloadable PDFs and spec tables to aid technicians.
Mapping MPNs Across Systems
ERP, WMS, PIM, and marketplace feeds should all reference the same canonical product record. Use a master data management approach where internal SKUs map to manufacturer MPNs, GTINs, and supplier SKUs. Maintain a cross-reference table so orders can be fulfilled from any supplier while preserving the manufacturer part number in the order and invoice.
Handling Revisions, Supersessions, And Obsolescence
Manufacturers sometimes supersede part numbers when a design changes. Track supersession relationships in your catalog so search results surface replacements and cross-references. Mark obsolete MPNs and link them to active equivalents to reduce misorders and customer confusion.
Practical Example
An industrial supplier manages pneumatic cylinder components. Each cylinder head has an MPN and occasionally a revised MPN when seals change. The supplier’s PIM stores both the historical and current MPNs, publishes the active MPN in the product feed, and includes the superseded MPNs in a compatibility field. When a buyer searches using an old maintenance manual’s part number, the catalog returns the active replacement with a note explaining the supersession.
Operational Tips
- Label: Make MPN a required structured field in supplier feeds and internal intake forms.
- Label: Retain historical MPNs and map them to current parts to support legacy maintenance searches.
- Label: Periodically reconcile your MPN list with manufacturer catalogs and update supersession mappings.
In short, the MPN is indispensable for technical accuracy in eCommerce catalogs. Implement reliable capture, normalization, validation, and cross-referencing so buyers, marketplaces, and service teams can find, order, and support the exact product a manufacturer intended.
