Overview

Request for Quotation — a formal request asking suppliers to provide pricing and commercial terms for specified products or services. For production parts, a well‑built RFQ eliminates ambiguity and speeds supplier selection; it frames technical expectations, commercial terms, and the supplier evaluation process in a single document.


Writing an effective RFQ in manufacturing means giving suppliers everything they need to provide a firm, comparable quote. The goal is to reduce follow‑up questions, limit conditional pricing, and make selection a matter of scoring known variables instead of negotiating unknowns.


Step 1 — Prepare Complete Technical Data


Include all engineering artifacts and reference documents. At minimum provide:


  • Drawings and BOM: CAD/PDF drawings, part numbers, and assembly BOM with cross‑references.
  • Material And Finish: Material spec, heat treatment, plating/anodizing, and surface finish tolerances.
  • Acceptance Criteria: Dimensional inspection methods, AQL levels, and functional test procedures.


Step 2 — Specify Commercial And Delivery Terms


  • Quantities And Forecasts: Initial PO quantity, reorder cadence, and an annual forecast for capacity planning.
  • Delivery Schedules: Required lead times, staggered deliveries, and drop‑ship or consolidated shipments.
  • Payment And Incoterms: Desired payment terms, currency, and agreed incoterm (for international suppliers).


Step 3 — Quality, Compliance, And Documentation


State required certificates (material test reports, ISO certificates), first article inspection expectations (FAI/PPAP), and any regulatory compliance (RoHS, REACH). Clarify who pays for sample tooling or FAI runs and whether failed samples void the quote.


Step 4 — Quote Format And Submission Rules


Standardize responses by asking suppliers to use a price worksheet or template. Required fields should include unit price, tooling/setup cost (separately), freight estimate, bid validity period, and lead time. Give a clear submission deadline, contact person for clarifications, and preferred file formats.


Step 5 — Evaluation Criteria And Timeline


Tell suppliers how you will evaluate bids and the timeline for decision. Typical evaluation elements are price (all‑in landed cost), lead time, quality capability, and commercial terms. Offer a calendar with dates for questions, quote submission, supplier visits or sample review, and expected award date.


Common Clauses And Contractual Considerations


  • Bid Validity: State how long the quote must remain valid to avoid re‑quoting during evaluation.
  • Intellectual Property: Clarify ownership of tooling design and confidentiality obligations.
  • Change Control: Define how specification changes will be handled and priced after award.
  • Warranty And Returns: Specify warranty duration, defect return procedures, and responsibility for rework.


Practical Tips And Checklist


  • Include Samples If Needed: For critical parts, require supplier sample submission with specified inspection results.
  • Allow Reasonable Lead Time For Suppliers: Complex tooling or certification checks require longer response windows.
  • Be Transparent About Volume Expectations: Suppliers price differently for one‑off versus recurring programs—provide realistic forecasts.
  • Use A Template: A consistent RFQ template reduces supplier errors and simplifies evaluation.


In short, the Request for Quotation should present specifications, commercial terms, and evaluation rules clearly and completely. That clarity reduces conditional quotes, shortens selection cycles, and produces comparable offers that reflect true landed cost and supplier capability for production parts.
