Product Specs are structured product specifications such as dimensions, weight, materials, model number, capacity, and compatibility. Writing effective specs means capturing those fields in a consistent format so marketplaces, WMS, and carriers can use them without manual correction.


This guide shows what to include, how to measure, and how to organize specs so they work from onboarding through pallet build and customs paperwork. The focus is practical: what to measure, where to store it, and common validation checks operations teams should run.


Essential Fields To Collect And How To Measure Them


  • Length/Width/Height: Measure the packaged unit along its longest axes; record in a single unit system (e.g., inches). Note whether measurements are product-only or packaged.
  • Weight: Use calibrated scales for net and gross weight. Record in the base unit used by your systems (pounds or kilograms) and include decimal precision (e.g., 2.35 lb).
  • Materials: List common and technical names (e.g., "ABS plastic (Acrylonitrile Butadiene Styrene)"). Note any restricted substances or recycling codes.
  • Model/Part Numbers: Capture manufacturer model, merchant SKU, UPC/GTIN, and any alternate identifiers used by trading partners.
  • Packaging Configuration: Eaches per inner pack, inner packs per carton, cartons per pallet, pallet layout, and carton dimensions.
  • Storage And Handling: Temperature range, humidity limits, stacking limits, and fragility notes (e.g., "Do not double-stack; fragile glass jar").

  • Single Source Of Truth: Store specs in a PIM, ERP, or WMS product master so integrations pull consistent values.
  • Structured Format: Use CSV, JSON, or XML exports with strict field names and units; avoid free-text fields for critical operational values.

  • Versioning: Include a spec version number, effective date, and change log entry for each update.

  • Calibrate Tools: Ensure scales and measuring devices are calibrated regularly.
  • Train Staff: Teach teams how to measure odd-shaped items and where to measure (e.g., include caps, exclude hanging tags).
