How Warehouse Managers Should Handle Best-By Dates: Receiving, Storage, and FEFO
Best-By Date
Definition
A date printed or labeled on a carton or product to communicate the event or time reference described by 'Best-By Date'.
Overview
Best-By Date A date printed or labeled on a carton or product to communicate the event or time reference described by 'Best-By Date'. Warehouse managers convert that manufacturer-provided information into operational rules: where product is stored, which lots ship first, and when to trigger markdowns or disposal.
Handling best-by dates correctly reduces waste, preserves customer relationships, and prevents costly chargebacks. The core operational discipline is accurate capture at receipt, disciplined inventory rotation, and clear exception paths for near-date product. Below are practical procedures and system settings successful warehouses use.
Receiving And Date Capture
- Scan At Intake: Scan carton and lot barcodes or use OCR to capture printed date codes into the WMS; avoid manual transcription.
- Verify Storage Conditions: Confirm temperature logs for cold-chain items; a best-by date assumes proper conditions and may be void if the cold chain was broken.
- Tag Exceptions: Immediately tag pallets with less than client-required remaining shelf-life for separate disposition decisions (return, promotion, donation).
Storage And Inventory Rotation
FEFO (first-expired, first-out) is the standard for date-marked goods. Configure the WMS to prioritize picks by the earliest best-by/use-by date within the acceptable delivery window. For large mixed pallets, segregate by lot and maintain bin-level visibility so pickers can select the correct pallet without moving stock unnecessarily.
Picking, Packing And Shipping Rules
- Pick Logic: Enforce FEFO selection in pick waves for date-sensitive SKUs and disable manual overrides unless a supervisor authorizes.
- Pre-Shipment Check: Include a date check in the packing station workflow to prevent shipments with insufficient remaining shelf-life from leaving the building.
- Documentation: Attach lot/date information to picking lists and invoices when customers require traceability for returns or recalls.
Systems And Automation
Modern WMS and barcode systems support date-based rules, exception alerts, and reporting. Use automated alerts for the following: lots entering a defined near-date window; temperature excursions that might invalidate the best-by assumption; and inbound lots without captured dates. Integrate with enterprise systems to flag orders that cannot be fulfilled because of date constraints and automatically reallocate inventory to secondary channels.
Disposition Options For Near-Expiry Stock
- Promotions/Markdowns: Route near-date items to promotional channels to sell before quality declines.
- Donations: Work with food banks and donation partners; check legal and tax considerations.
- Returns/Destruction: Follow contracts and regulatory rules—some customers require return of near-date stock or documented destruction.
Training, Audits, And KPIs
Train receiving, picking, and QA staff to recognize date codes and follow rules for FEFO. Regular audits of date capture accuracy, pick accuracy, and shipped-date compliance prevent slip-ups. Track KPIs such as date-capture rate, date-compliance rate against customer SLAs, and waste value attributable to date lapses.
Practical Example
A regional grocery 3PL enforces a 60% remaining shelf-life policy for perishable SKUs and 40% for dry goods. On receiving, staff scan dates and the WMS computes remaining shelf-life automatically. Pallets that fall below retailer thresholds are flagged and moved to a discount holding area. The WMS generates weekly reports that feed the sales team’s promotion planning and the operations team’s donation coordination.
In short, the Best-By Date becomes an operational control point in the warehouse. Accurate capture, FEFO rotation, clear disposition rules, and WMS enforcement translate manufacturer quality markers into predictable fulfillment outcomes that reduce waste and protect customer relationships.
