ASN Advance Ship Notice; an electronic shipment notice describing what is shipping, how it is packed, and when it is expected to arrive.


Warehouses use ASNs as the primary input for planning receiving labor, staging, and immediate inventory actions. A well-formed ASN allows a receiving manager to transform a reactive dock environment — where staff wait to see what arrives — into a scheduled, efficient intake process that minimizes manual counting and speeds putaway or cross-dock operations.


Receiving Workflows Enabled By ASNs


  • Pre-Advice Creation: WMS creates expected receipts from the ASN so receiving teams know quantities and SKU mixes in advance.
  • Dock Scheduling: ASN ETAs inform appointment systems that allocate dock doors and times to avoid bottlenecks.
  • Pre-Staging: Teams allocate staging lanes, sortation equipment, and forklifts based on the ASN’s pallet and carton counts.
  • Cross-Docking: When product is destined for immediate outbound shipping, ASNs provide the data to route items straight to the outbound dock.


How ASNs Integrate With WMS


When the WMS receives an ASN it parses the document and matches it to an existing purchase order or creates an unplanned receipt record. The system uses the ASN’s pallet and carton-level IDs (SSCCs) to generate barcode labels, expected-receipt SKUs, and suggested putaway locations. On arrival, receiving staff scan SSCCs or carton barcodes; the WMS confirms whether scanned quantities match the ASN and triggers exception workflows for mismatches.


Handling Exceptions At The Dock


  • Shortage: WMS flags the variance and may auto-accept small discrepancies or create a shortage report for supplier follow-up.
  • Overages: Over-declared goods are put on hold pending validation and possible returns to carrier/supplier.
  • Missing Pack Hierarchy: If the ASN lacks carton-level SSCCs, receiving requires manual count and carton labeling before putaway.


Measuring ASN-Enabled Performance


Common KPIs to monitor include the percentage of ASN-to-receipt matches, average receiving time per pallet/carton, exceptions per shipment, and dock-to-stock cycle time. Improvements in these metrics after ASN implementation demonstrate ROI through reduced labor and faster inventory availability for order fulfillment.


Practical Example — LTL Arrival At A Regional DC


An LTL carrier issues an ASN 24 hours before delivery listing three pallets with SKUs and carton counts. The DC’s WMS creates the expected receipt, assigns a staging lane, and schedules a two-hour appointment. On arrival, the dock team scans pallet SSCCs; two pallets match exactly, one shows a short carton count. The WMS auto-accepts the minor variance while generating a short report to the supplier. The process takes 20 minutes versus an hour without ASN data.


Best Practices For Receiving Teams


  • Require Pack-Level Detail: Ask suppliers for SSCCs or carton serial numbers to enable scan-and-accept flows.
  • Define Acceptable Variances: Set thresholds in the WMS for auto-accept to reduce unnecessary manual checks.
  • Integrate Dock Appointment Systems: Use ASN ETAs to power appointment booking and reduce door idle time.
  • Train Dock Staff On Exceptions: Make clear steps for creating shortage/overage reports and for quarantining suspect goods.


When ASNs May Not Help


ASNs are less useful when suppliers consistently send inaccurate packing data, when inbound shipments are small parcel (where carrier-tracking replaces ASN utility), or in ad hoc vendor-direct returns. In these cases operational focus should be on improving supplier compliance or using carrier tracking and PODs for visibility.


In short, the ASN turns receiving from a reactive counting exercise into a predictable, data-driven process — cutting dock time, improving inventory accuracy, and enabling faster putaway or cross-dock flows when integrated tightly with WMS and dock scheduling tools.
