Three counting approaches are widely used in contracts and systems:


  • End-Of-Day Snapshot: Count pallets at a consistent time each day (midnight or shift end) and bill based on the average or final count for the month.
  • Peak Count: Bill on the highest pallet count observed during the billing period—protects warehouse when space is reserved for spikes.
  • Daily Average: Sum daily counts and divide by days in period to bill on average occupancy—fairer for fluctuating operations.


Defining A Billable Pallet


Contracts must define what constitutes a billable pallet. Common definitions include standard pallet dimensions (48"x40" in the U.S.), whether half-pallets count as one full pallet or a fraction, and treatment of stacked pallets. Non-stackable or overheight pallets are usually billed at higher rates or assigned additional pallet-equivalents.


Calculating Fees — Step By Step


A basic monthly calculation looks like this:


  • Step 1: Determine the counting method (e.g., end-of-day snapshot).
  • Step 2: Count billable pallets per the contract definition for each relevant day or event.
  • Step 3: Apply conversion rules for non-standard pallets (e.g., 2 half-pallets = 1 full pallet).
  • Step 4: Multiply the billable pallet total by the agreed per-pallet rate and adjust for any tiering, minimums, or discounts.


Example Calculation


If a customer has a daily average of 75 billable pallets and the agreed rate is $22 per pallet per month, the monthly pallet storage fee is 75 × $22 = $1,650. If the contract includes a minimum of 100 pallets, the customer will pay for 100 × $22 = $2,200 despite physically storing fewer pallets.


Common Surcharges And Adjustments


  • Cold Storage Premiums: Refrigerated and frozen storage costs can be several times higher than ambient pallet fees.
  • Overflow Charges: Extra fees if inventory forces use of offsite or non-standard locations.
  • Handling-Included vs. Storage-Only: Some contracts include putaway and retrieval in the pallet fee; others bill those separately.


How Merchants Can Reduce Pallet Storage Costs


Reducing pallet storage charges focuses on lowering billed pallet equivalents and shortening storage time. Practical steps include:


  • Increase Turns: Improve replenishment cadence and demand planning to reduce average days inventory on hand.
  • Consolidate Loads: Combine partial pallets into full pallets to reduce billed positions.
  • Use Standard Pallets: Standard dimensions avoid fractional billing or surcharges.
  • Negotiate Free Days and Minimums: Seek free storage windows and lower minimums based on realistic seasonality and turn rates.
  • Optimize Slotting: Better slotting and vertical stacking reduce the physical footprint per unit sold.


Warehouse Best Practices To Improve Accuracy


To prevent disputes and speed invoicing, warehouses should:


  • Use WMS Reports: Automate daily snapshot reporting for transparent counts.
  • Agree On Audit Rights: Allow clients to audit counts on defined schedules to build trust.
  • Document Exceptions: Keep records for non-standard pallets, damaged goods, and temporary overflow that may affect billing.
  • Communicate Seasonality: Coordinate expected peaks so clients can plan inventory flows or reserve capacity at predictable rates.
