Inventory Reservation

Definition

The process of holding inventory for a specific order, channel, customer, or future demand.

Overview

Inventory Reservation Holding inventory for a specific order, customer, sales channel, store, or future fulfillment need. Reservations are the mechanism that many available-to-promise (ATP) and capable-to-promise (CTP) engines use to convert inventory into firm commitments.

Order promising depends on accurate visibility of inventory status across locations, channels, and incoming receipts. Reservations bridge the gap between online order capture and physical fulfillment: they reduce the pool of available units shown to customers and other systems, enabling reliable ship dates and commitments. The quality of promises your operation can make is directly tied to reservation rules and latency.

How Reservations Feed ATP And CTP Calculations

ATP calculates whether stock exists today to meet demand; CTP extends ATP by considering capacity, lead times, and replenishment. Reservations modify the inventory inputs these engines use. When a reservation is created at order capture, ATP sees fewer available units and can either reject a promise or suggest a later ship date. CTP uses reservation data plus future receipts and production capacity to compute feasible promise dates for backorders or made-to-order items.

Timing And Latency Considerations

Reservation timing matters. Creating reservations at the point of payment or order confirmation provides the strongest customer guarantee but increases the number of short-lived reservations from abandoned carts or payment delays. Some operations delay reservation creation until payment clears, fraud checks pass, or pick waves are staged. Each choice affects the ATP/CTP outputs and the risk of oversell versus the risk of over-committing inventory.

System Architecture And Integration Points

Effective order promising requires tight integration between OMS, WMS, and any ATP/CTP engine. Common architectural patterns:

  • Centralized OMS: The OMS holds reservation state and feeds availability to commerce channels and the WMS.
  • WMS-Driven Reservations: The WMS authoritatively manages physical reservations; the OMS queries it for availability when promising orders.
  • ATP/CTP Engine: A standalone engine consumes master inventory and reservation feeds and returns promise dates to the OMS for customer-facing commitments.

Common Pitfalls That Break Promises

Misaligned systems and manual workarounds cause promise failures. Typical failure modes include double reservations created by two systems, orphaned reservations after order cancellation, delays in reservation replication between systems, and using reservations that ignore reservations for returns and quality holds. These produce false availability and customer disappointment.

Metrics To Monitor

  • Promise Accuracy: Percentage of orders shipped on or before the promised date; tracks ATP/CTP fidelity.
  • Reservation Utilization: Share of reserved units that convert to shipped orders vs. cancelled or expired reservations.
  • Reservation Aging: Average time units spend reserved before release or fulfillment; long aging may indicate orphaned holds.
  • Oversell Incidents: Number of orders where promise was broken due to inaccurate reservation state.

Practical Example

A national electronics retailer uses a CTP engine to promise ship dates during checkout. When a customer orders a limited laptop model, the OMS immediately creates a reservation marked priority=web and location=DC-5. The CTP engine uses that reservation and incoming replenishment from the supplier to calculate a two-day ship date. If the supplier confirms delayed receipt, the CTP recalculates and the OMS updates the customer. Because reservation state is authoritative and synchronized, promise accuracy stays high and cancellations due to stock errors are minimized.

In short, the Inventory Reservation layer is essential to reliable ATP/CTP. Align reservation timing, ownership, and integration with your order-promising engine so customer-facing commitments reflect the true state of physical inventory and operational capability.
