Automated Bid Adjustment

Definition

Software-driven increases or decreases to bids based on performance data, predictions, or rules.

Overview

Automated Bid Adjustment Software-driven increases or decreases to bids based on performance data, predictions, or rules. Measuring its impact requires a clear KPI framework that links adjustments to cost, service, and behavioral outcomes.

Without measurement, automated bid adjustment is a black box. A concise KPI framework ties the automation to business outcomes and informs iterative rule improvements. Good measurement includes both direct financial metrics (cost per shipment, award price variance) and service or operational metrics (on-time-in-full, tender acceptance rate, carrier performance drift). Also include system health metrics (rule hit rate, number of manual overrides) to monitor the automation itself.

Primary KPIs To Track

  • Cost Per Shipment: Total transported cost divided by shipments — shows bottom-line impact.
  • Award Rate: Percentage of tenders awarded to carriers within target bands — indicates market responsiveness.
  • Spot Premiums: Average percentage above contracted rates paid on spot moves — a direct cost control measure.
  • On-Time-In-Full (OTIF): Service performance of awarded carriers after adjustments.

Secondary KPIs And Behavioral Signals

Secondary metrics reveal how carriers respond to adjustments and where rules need tuning. Track tender acceptance lead time, number of award exceptions, carrier churn on important lanes, and claims rates. Also measure rule-specific metrics such as rule hit rate (how often a rule applies), rollback frequency, and human override frequency.

  • Tender Acceptance Lead Time: Time between tender and carrier acceptance — shorter times imply higher carrier confidence.
  • Carrier Churn: Volume shift away from preferred carriers after rule changes — signals unintended consequences.
  • Rule Hit Rate: Percentage of tenders affected by one or more rules — helps prioritize rule reviews.

Measurement Cadence And Attribution

Measure short-term and medium-term outcomes. Weekly tracking catches immediate problems (e.g., an aggressive rule causing rate spikes), while monthly and quarterly reviews show structural improvements in cost and service. Attribution matters: use control groups or A/B tests when possible to isolate the automation’s effect from market movements. For example, apply new rules to a subset of lanes and compare cost and OTIF against the untouched control group.

Dashboards And Alerts

Operational dashboards should present KPI trends and offer drill-downs by lane, carrier, and account. Alerting thresholds are essential: flag when cost per shipment deviates by X% month-over-month, when rule overrides exceed Y per day, or when award rates drop below a preset floor. Combine visual dashboards with periodic reports to procurement leadership and operations.

Practical Example

A national retailer implemented automated bid adjustment on high-volume inbound lanes. After six months they tracked: cost per shipment (down 4%), OTIF (up 2 percentage points), rule hit rate (18%), and manual overrides (avg 3/week). They used a control group of smaller lanes where no automation was applied to validate attribution. Monthly reviews reduced override frequency by refining rules that had been too aggressive during load-pickup windows.

How To Use Results To Improve Rules

Use KPI results to iterate. If OTIF drops after a rule change, reduce the negative adjustment magnitude or lengthen the reversion window. If cost savings plateau, consider adding market-response rules driven by external spot rate indices. Document experiments and outcomes so the team builds institutional knowledge about which patterns work for particular lanes or seasonality.

In short, the Automated Bid Adjustment program succeeds or fails on measurement: a compact KPI framework, paired with control testing and governance, turns automated decisioning from a hypothesis into predictable freight savings and service gains.
