  • Measure L×W×H: Record dimensions in the shipping orientation. Measure any handles, legs or protrusions that affect truck space.
  • Capture Gross Weight: Use a calibrated scale. Round to carrier-required increments.
  • Photo Record: Take three-sided photos and one close-up of serial/model plate; attach to the order record.


Packing And Securement Tasks


Choose packaging to protect the load and match the chosen carrier service level:

  • Pallet or Crate Applied: Verify pallet size and load center; ensure secure fastening and no overhang.
  • Anchor & Brace: Use blocking, corner boards and cross-straps to prevent movement.
  • Surface Protection: Apply stretch film, corner guards, heavy-duty blankets or foam as needed.
  • Label Placement: Affix primary label to a flat visible face and handling labels to the top and two sides.


Documentation And Carrier Instructions


Complete the paperwork and convey necessary handling details to the carrier:

  • BOL & Order Number: Ensure Bill of Lading contains dimensions, weight and declared value.
  • Service Type: Mark the BOL and labels with the service level (e.g., white-glove inside delivery).
  • Delivery Notes: Note stairs, elevator access, narrow lanes, parking limitations, or HOA rules on the order.
  • Driver Tools: Indicate if carrier should bring a ramp, liftgate, two-person crew or special equipment.


Staging And Handoff Requirements


Staging organizes the dock and reduces loading errors:

  • Dedicated Oversized Area: Reserve a marked zone with clear load-out lanes and paperwork clipboards.
  • Sequence By Route: Stage in carrier pickup sequence to minimize re-handling.
  • Pre-Loaded Docs: Attach pick/pack sheet and inspection photos to the pallet or crate.
  • Carrier Check-In: Require driver signature and scan at handoff; log the driver and vehicle details.


Safety, Training And Quality Control


Protect staff and products with training and verification:

  • Equipment Checks: Inspect forklifts, pallet jacks and straps daily and keep maintenance logs.
  • Handling Training: Train teams on safe lifting, tilt hazards and correct strapping techniques.
  • QC Spot Checks: Randomly audit oversized shipments for labeling accuracy, securement and documentation.
  • Incident Tracking: Log damage events and root causes to adjust packing or process.
