Approval Sample A sample submitted to the buyer or brand for formal approval before production proceeds. In warehouse and quality workflows this sample becomes a critical control item: it guides receiving inspection, inbound acceptance criteria, and any future dispute resolution between buyer and supplier.


Warehouse managers and quality teams must treat approval samples as controlled documents. That means labeling them, recording storage location, capturing photographs and measurements, and linking the sample to the purchase order and inspection records in the WMS or QMS.


Where To Store Approval Samples


Store approval samples in a dedicated, climate-controlled area if materials are sensitive (fabrics, adhesives, electronics). Assign a unique identifier and scan it into the warehouse management system so the sample can be retrieved quickly for comparison during incoming inspections or customer escalations.


Documenting The Approval


Documentation should include the sign-off form or email, photos from multiple angles, measurements with tolerance notes, material certificates, and any lab test results tied to the sample. Attach these documents to the PO in your ERP or as records in your quality management system to ensure traceability.


Inspection Workflow Using An Approval Sample


  • Receive PO and sample reference: Confirm the approval sample ID and review the acceptance checklist before goods arrive.
  • Inspect inbound lots: Use the approval sample as the reference for visual checks, material verification, and functional testing.
  • Record findings: Log variances against the approval sample; small deviations can be handled by agreed tolerance rules, major deviations escalate to the buyer.
  • Hold vs release: If a lot matches the approval sample within tolerances, release to inventory; otherwise place on hold and notify procurement or quality.


Tips To Reduce Sample-Related Delays


Set explicit deadlines for sample submission in contracts and POs. Require suppliers to provide samples early enough for full testing. Use digital approvals (photos plus a short video demonstrating function) to accelerate cases where hands-on review is impractical—while retaining a physical sample for final verification.


Train receiving staff to use objective metrics rather than subjective impressions. Equip inspection stations with calibrated measuring tools, standardized lighting for color checks, and access to the approval sample record in the WMS.


Dispute Handling And Evidence Preservation


If a dispute arises about conformity, the stored approval sample with attached documentation is evidence. Establish a retention policy—keep approval samples until warranty and return windows expire, or longer for regulated products. For high-value lines, consider archiving multiple approval samples from different batches.


Integration With Suppliers And Carriers


Share the approval sample record with your supplier and, when required, with inspection agencies and carriers handling specialized cargo (e.g., temperature-sensitive goods). Clear, shared documentation reduces the chance of incorrect substitutions during packing or consolidation.


In short, the Approval Sample is the contractual physical standard stored and referenced by warehouse and quality teams to control inbound inspection, acceptance criteria, and dispute evidence. Treat it as a controlled item: label, document, store, and reference it in your WMS/QMS to avoid confusion and production delays.
