Overview

Order Level is the ASN level linking shipment contents to a purchase order or customer order. In warehouse operations, it helps receiving teams understand which order a shipment belongs to before the truck arrives, the dock door opens, or cartons are scanned into the warehouse management system.


For beginners, the easiest way to think about Order Level is as the bridge between what was ordered and what is being shipped. An advance ship notice, often called an ASN, may include shipment information, carrier details, pallet or carton information, and item quantities. The Order Level portion tells the receiver which purchase order, replenishment order, transfer order, or customer order those contents are tied to.


When Order Level data is clean, warehouse teams can receive faster, match inventory more accurately, and avoid confusion between similar shipments. When it is missing or wrong, the receiving process slows down. A dock associate may have the goods physically in front of them, but the system may not know which order to receive against, which can delay putaway, invoicing, allocation, and customer fulfillment.


Why Order Level Matters In Warehouse Operations


Order Level data matters because most warehouse activity depends on order accuracy. A receiving team needs to know whether inbound goods are connected to a purchase order from a supplier, a customer return, a stock transfer, or a direct-to-consumer replenishment flow. The ASN provides advance visibility, but the Order Level provides the commercial and operational context.


In a typical U.S. warehouse, inbound shipments may include multiple purchase orders on one truck. A supplier might ship three POs in the same trailer, or a 3PL may receive mixed freight from several merchants in a single LTL delivery. Without proper Order Level detail, the warehouse may be forced to manually separate cartons, search paperwork, or contact the vendor before receiving can continue.


Strong Order Level practices also improve downstream work. Inventory can be allocated to the right sales channel, shortages can be identified earlier, and accounts payable teams can match receipts to supplier invoices with fewer exceptions. For customer orders, accurate Order Level information helps confirm that the right goods are moving through fulfillment, cross-dock, or outbound staging.


What Order Level Data Typically Includes


The exact fields depend on the WMS, ERP, trading partner requirements, and EDI format being used. In many ASN workflows, the Order Level identifies the order reference and supports matching between the shipped product and the expected receipt. It should be specific enough for the warehouse system to receive product without guessing.


  • Purchase order number: The buyer-issued PO that the shipment contents should be received against.
  • Customer order number: The order reference used when goods are shipped for a customer-specific flow.
  • Vendor or supplier identifier: The party shipping the goods, often matched to a vendor master record.
  • Ship-to location: The warehouse, store, or facility expected to receive the goods.
  • Item and quantity relationship: The SKU quantities tied to that order reference, often supported by pack or item-level detail.
  • Dates and references: Ship date, expected delivery date, release number, or other identifiers used for reconciliation.


The key is consistency. If the PO number is formatted differently on the ASN than it is in the WMS, automated matching may fail even when the shipment is physically correct. For example, a supplier sending PO 12345-A when the warehouse expects 12345A can create an exception that requires manual review.


Best Practices For Clean Order Level ASNs


The best Order Level process starts before the shipment leaves the supplier. Merchants, warehouses, and transportation partners should agree on which order identifiers are required, how they should be formatted, and when the ASN must be transmitted. A clean ASN received too late is still less useful than one received before the truck arrives.


  • Use one source of truth: Keep purchase order and customer order numbers consistent between the ERP, WMS, vendor portal, and EDI documents.
  • Validate before shipment: Check that the Order Level reference exists and is open before the ASN is sent.
  • Separate mixed orders clearly: If one trailer includes several orders, each order should be clearly represented in the ASN structure.
  • Standardize naming and formatting: Avoid extra spaces, dashes, prefixes, or suffixes unless they are part of the official order number.
  • Require timely ASN transmission: Send the ASN early enough for receiving teams to plan labor, dock doors, staging space, and putaway tasks.
  • Monitor exceptions: Track failed ASN matches, missing order numbers, duplicate references, and quantity mismatches.


For warehouses using barcode scanning or carton-level receiving, Order Level accuracy becomes even more important. Scanning a carton should trigger the correct order receipt automatically. If the order reference is wrong, the scan may reject, receive into the wrong order, or force the associate to stop and request supervisor support.


How Order Level Improves Receiving Speed


Receiving is often one of the busiest areas in a warehouse. Trucks arrive, pallets are unloaded, cartons are sorted, and products need to move quickly to storage, quality inspection, cross-dock, or outbound staging. Order Level data reduces the time spent figuring out what the shipment is supposed to be.


With accurate Order Level information, the WMS can compare the ASN to open purchase orders and expected receipts. The system can flag differences before product is handled repeatedly. Dock teams can prioritize urgent customer orders, separate backordered SKUs, and direct goods to the correct zone.


For example, a 3PL receiving apparel for several ecommerce brands may get one inbound truckload from a consolidator. If the ASN clearly separates each merchant order at the Order Level, the warehouse can receive by merchant, PO, and SKU without manually rebuilding the shipment from packing slips. That means fewer touches, fewer delays, and better inventory visibility for the merchant.


Common Order Level Mistakes To Avoid


Many Order Level problems are simple data issues, but their operational impact can be large. A missing order number can hold an entire pallet at the dock. A duplicate reference can cause receiving against the wrong PO. A quantity mismatch can create inventory variances that take hours to investigate.


  • Missing order references: The ASN includes shipment or carton details but does not identify the purchase order or customer order clearly.
  • Wrong order type: A customer order is sent where the warehouse expects a purchase order, or a transfer order is not identified correctly.
  • Mixed orders without structure: Multiple orders are included in one shipment but are not separated properly in the ASN.
  • Closed or cancelled orders: The ASN references an order that is no longer open for receiving.
  • Incorrect quantities: The Order Level quantities do not match item-level, pack-level, or physical shipment quantities.
  • Late ASNs: The data arrives after the freight, removing most of the planning benefit.


A practical way to reduce these issues is to review exception reports weekly. If the same supplier repeatedly sends invalid order numbers, the fix may be vendor training, EDI mapping changes, or stricter portal validation. If the errors come from internal order changes, the ERP-to-WMS integration may need attention.


Tips For Merchants, 3PLs, And Suppliers


Merchants should define Order Level requirements clearly in routing guides and vendor compliance documents. If suppliers are expected to send ASNs, the required order fields should be listed with examples. This is especially useful for retailers, ecommerce brands, and distributors that receive high volumes of inbound freight from many vendors.


3PL operators should configure client onboarding to capture how each merchant uses order numbers. One client may rely on purchase orders, while another may use inbound shipment IDs or customer order references. The goal is not to force every client into the same commercial process, but to make the WMS rules clear enough that receiving stays reliable.


Suppliers and transportation providers benefit from accuracy too. Clean Order Level data reduces detention risk, dock delays, chargebacks, and dispute time. When the warehouse can receive quickly, carriers can turn equipment faster and vendors can get fewer compliance claims.


Simple Operational Example


Suppose a warehouse expects two purchase orders from the same supplier: PO 450010 for 500 units of SKU A and PO 450011 for 300 units of SKU B. The supplier ships both on one LTL pallet and sends an ASN before delivery. At the Order Level, the ASN separates PO 450010 from PO 450011 and connects the correct SKU quantities to each order.


When the pallet arrives, the receiving associate scans the labels and the WMS recognizes both expected orders. The system can receive SKU A against PO 450010 and SKU B against PO 450011 without manual lookup. If only 280 units of SKU B arrive, the shortage is tied to the correct order immediately.


If the ASN had only listed the shipment number, the warehouse would need to investigate which PO the goods belong to. That extra step may sound small, but multiplied across dozens of inbound shipments per day, it becomes a real drag on productivity.


How To Measure Order Level Performance


Warehouses can improve Order Level processes by measuring data quality, not just receiving speed. Useful metrics include ASN match rate, number of order reference errors, receiving exceptions per supplier, and average time from dock arrival to system receipt. These measurements show whether the ASN is helping operations or creating extra work.


Teams should also compare ASN data to physical receiving results. If quantities frequently differ, the issue may be packing accuracy, ASN timing, or inventory control at the supplier. If order references fail often, the issue is more likely master data, EDI mapping, or inconsistent formatting.


In short, the Order Level is a small part of ASN data with a large effect on warehouse performance. When order references are accurate, timely, and clearly connected to shipment contents, receiving teams work faster, inventory records stay cleaner, and suppliers, merchants, 3PLs, and carriers all spend less time resolving preventable exceptions.
