This guide breaks preparation into discrete activities: technical readiness, data readiness, operational readiness, and documentation. Each area has practical checks you can perform before engaging the trading partner’s test environment. Treat certification like a small project with milestones, owners, and a cutover plan rather than an ad-hoc technical call.


Technical Readiness Checklist


  • Connectivity Tested: Verify AS2 certificate exchange, SFTP authentication, or VAN routing with a simple envelope to confirm connectivity.
  • Translator Configuration: Ensure EDI translator mappings are in place for each required transaction set and version (e.g., X12 810/850/856).
  • Acknowledgement Handling: Confirm your system can consume and react to 997/999 acknowledgements and partner-level ACKs.
  • Error Logging: Implement clear logging for parsing and semantic errors to speed troubleshooting during certification.


Run basic smoke tests: send a valid 850, expect the partner’s response or acknowledgement, then send a deliberately malformed 850 to validate error handling. These quick tests expose common misconfigurations before the formal partner test window.


Data Readiness Checklist


  • Master Data Alignment: Ensure GLNs, ship-from and ship-to addresses, SKU/GTIN mappings, and unit-of-measure qualifiers match the partner’s expectations.
  • Populate Mandatory Fields: Validate that your source systems populate all required segments and elements per the partner’s implementation guide.
  • Sample Coverage: Prepare multiple sample files to cover edge cases: dropship, backorder, mixed pallets, and returns.
  • Document Exceptions: Identify business exceptions that require manual handling and prepare operational fallback steps.


Use a pre-certification checklist to validate a representative set of SKUs and scenarios. Certification failures commonly stem from missing qualifiers, wrong UOM codes, or mismatched PO line numbering rather than gross format errors.
