Overview

Product Catalog A structured collection of products and their associated information, variants, attributes, media, and commercial data. Governance brings discipline to that collection: who owns each field, how changes are approved, how quality is measured, and how the catalog scales across suppliers and channels.


Good governance reduces time-to-list, minimizes feed rejections, and improves customer trust. It combines role definitions, validation rules, onboarding processes, and regular audits. A governance program also assigns accountability for the catalog’s living elements: product descriptions, pricing, images, and compliance attributes. Without it, organizations experience data drift and conflicting records across ERP, WMS, and storefronts.


Define Roles And Responsibilities


  • Catalog Owner: Accountable for the catalog’s integrity and overall roadmap.
  • Data Stewards: Manage specific domains (pricing, attributes, media) and approve changes.
  • Supplier Managers: Onboard suppliers and validate incoming product data.
  • Channel Managers: Control channel-specific variants and publishing schedules.


Establish Workflows And Approval Gates


Create workflows for adding, updating, and retiring SKUs. Require approvals for commercial changes (price, promotions) and compliance items (hazmat flags, country-of-origin). Use role-based permissions in your PIM or catalog management system so only authorized users can publish to live channels.


Validation Rules And Automated Quality Checks


Implement automated checks that validate critical fields: GTIN presence and format, required image counts and sizes, description length limits, and category-attribute consistency. Enforce referential integrity for relationships (parent-child variants) and ensure numeric fields (weight, dimensions) use consistent units. Failures should trigger clear remediation tasks assigned to data stewards or suppliers.


Supplier Onboarding And SLAs


Provide suppliers with a standardized template and a validation tool to pre-check data before submission. Define SLAs for data correction and set penalties or listing delays for repeated noncompliance. For large supplier networks, consider tiered onboarding: basic SKU listing for fast channels, followed by enrichment for premium channels.


Audits, KPIs, And Continuous Improvement


Run regular audits to find duplicates, inconsistencies, and stale content. Track KPIs such as field completeness rate, feed acceptance rate, time-to-publish, percentage of SKUs with valid GTINs, and correlation between data quality and returns. Use those metrics to prioritize enrichment projects and tighten supplier requirements.


Governance Tools And Integrations


  • PIM (Product Information Management): Centralizes product master data and enforces validation rules.
  • DAM (Digital Asset Management): Stores validated images and usage rights, reducing accidental use of low-resolution assets.
  • Middleware/ETL: Transforms and routes catalog data to ERP, marketplaces, and analytics systems.
  • Audit Logs: A searchable record of who changed what and when — essential for compliance and root-cause analysis.


Practical Governance Checklist


  • Ownership: Assign a catalog owner and domain stewards with documented responsibilities.
  • Minimum Viable Fields: Define required fields for each channel and SKU class.
  • Validation: Implement automated pre-publish checks and feed simulations.
  • Onboarding: Provide templates and a sandbox for suppliers to test uploads.
  • Monitoring: Dashboards for completeness, feed errors, and conversion impacts.


In short, the Product Catalog requires governance to ensure accuracy, speed, and scale. Assign clear ownership, automate validation, onboard suppliers with standards, and measure quality continuously to keep product data reliable across sales channels and operational systems.
