Overview

Product Condition is the state of a product, such as new, used, refurbished, open box, damaged, or collectible. Marketplaces and regulators require sellers to disclose condition accurately; incorrect disclosures cause disputes, chargebacks, and compliance issues that affect seller metrics and legal exposure.


Selling on multiple channels magnifies the risk of condition mismatch. A unit assessed as refurbished by an in-house QC team must be listed with matching language across marketplaces and in the retailer’s ERP/WMS to avoid customer confusion and policy violations. Typical marketplace rules require photos for non-new items, explicit refurbishment disclosures, and sometimes proof-of-repair documentation.


Marketplace Listing Requirements


Major marketplaces publish condition policies that define allowable labels, required disclosures, and penalties for misrepresentation. Sellers should map internal condition codes to marketplace categories and automate listing creation to avoid manual errors.


  • Label Mapping: Match your condition taxonomy to each marketplace’s accepted values before listing.
  • Photo And Note Requirements: Many platforms request item photos and a clear description of defects or missing parts for used and open-box items.
  • Refurbished Disclosures: Some marketplaces require a statement that the item is refurbished and whether the refurbishment was performed by the manufacturer or a third party.


Returns, Warranties, And Customer Remedies


Condition drives return eligibility and remedies. New items generally qualify for full refunds; items sold as-is or listed as damaged might be non-returnable depending on platform rules and local law. Refurbished items commonly carry limited warranties; the seller must clearly state the warranty period and coverage. For marketplace disputes, documented inspection photos and test logs are crucial evidence.
