Overview

Application Identifier (AI)

A GS1 prefix that defines the meaning and format of the data that follows it in a GS1 barcode. Warehouses and 3PLs should use AIs when they need machine-readable, unambiguous data for inventory control, expiry management, traceability, and regulatory reporting.

For operational teams, the value of an Application Identifier (AI) is in eliminating manual data entry and enabling automated decisioning. AIs let scanners and WMS software know whether a scanned element is a GTIN, lot, serial, expiration date, weight, or quantity — and that clarity drives downstream workflows like quarantine for expired goods or serial-level shipping records.

When To Require AIs On Labels

  • Expiry-Sensitive Inventory: Use AIs for pharmaceuticals, chemicals, and perishable foods where expiration tracking and FEFO picking are required.
  • Lot/Batch Traceability: When suppliers, regulators, or customers require lot-level visibility for recalls or quality investigations.
  • Serialized Items: For warranty, returns, and anti-counterfeiting workflows that need serial numbers (AI 21) at scan time.
  • Case/Pallet Aggregation: For multi-SKU shipments where GTIN, quantity, and lot need to travel with the pallet label.

How To Design Labels For Warehouse Use

Label design must balance human readability, scanner reliability, and space constraints. For cases and pallets, GS1-128 or GS1-128 combined with human-readable text is common. For small devices, GS1 DataMatrix allows the same AIs in a compact 2D symbol. Include parentheses in the human-readable line (e.g., (01) 00012345600012) so warehouse staff can visually verify fields quickly.

WMS And Scanner Configuration

Configure handheld scanners and mobile apps to capture raw barcode data and either perform AI parsing at the device or forward raw strings to the WMS for server-side parsing. Decide which side validates formats and enforces business rules. Keep scanner firmware updated for GS1 standard compatibility, and ensure FNC1 handling is enabled for GS1-128 environments.

Operational Workflows Enabled By AIs

  • Receiving: Auto-populate product, lot, expiry, and quantity fields during ASN/PO reconciliation.
  • Putaway: Direct items to appropriate storage (temperature-controlled, quarantine) based on AI-encoded attributes.
  • Picking: Enforce FEFO/FIFO rules by evaluating expiration dates and lot ages at pick time.
  • Shipping: Capture serials for serialized shipments, and generate compliant packing records for customers or regulators.

Common Pitfalls And How To Avoid Them

Common mistakes include inconsistent label templates from suppliers, missing FNC1 separators, and WMS parsers not updated for the specific AIs used. Mitigate these by publishing a supplier labeling guide, running incoming label validation at the gate, and maintaining an AI dictionary within your integration middleware.

Checklist For Deployment

  • Requirement Definition: Identify which AIs your operations need (GTIN, lot, expiry, serial, quantity).
  • Label Standards: Create label templates and include human-readable AI markers to aid verification.
  • System Mapping: Map each AI to your WMS/ERP fields and test end-to-end with test labels.
  • Staff Training: Train receiving and picking teams on AI meaning and exception handling.
  • Supplier Onboarding: Require AI-compliant labels in supplier agreements or onboarding checklists.

In short, the Application Identifier (AI) is a practical tool for warehouses to encode structured product and logistics data on labels. Use AIs where automation, traceability, and regulatory compliance matter, and pair them with disciplined label standards, WMS configuration, and supplier governance to realize their full operational benefit.
