The nine-digit core Canadian Business Number used as the base identifier for CRA and CBSA program accounts.

Overview

BN9 The nine-digit core Canadian Business Number used as the base identifier for CRA and CBSA program accounts. In cross-border logistics, the BN9 is the primary identifier that links shipments to an importer’s tax and customs accounts — a detail that influences clearance, duty payment, tax remittance and recordkeeping.

Warehouse managers, 3PL operators and carriers must understand when to collect and apply the BN9 and when to require full program account strings. The right identifier on the right document speeds clearance and avoids downstream reconciliation headaches with brokers, customs authorities and clients.

Where The BN9 Appears In Shipping And Customs Paperwork

The BN9 or the extended program account often appears on these documents:

  • Commercial invoice: Shows seller and buyer details; include the importer’s BN9 and any program account required for tax reporting.
  • Bill of lading / air waybill: Identifies consignor and consignee — the BN9 helps carriers and brokers match cargo to the importer’s records.
  • Customs declaration / release documents: Filed by brokers or carriers; usually require program account identifiers derived from the BN9 so duties and taxes post to the correct accounts.

Practical Steps For Warehouses And 3PLs

Implement these practices to avoid BN9-related delays:

  • Verify upfront: Collect the importer’s BN9 at onboarding and request the program account(s) used for trade filings so you can populate documents correctly.
  • Centralize the BN9: Store the BN9 as a required master-data field in your WMS/ERP so every outbound or inbound transaction references the canonical identifier.
  • Cross-check shipping documents: Ensure commercial invoices and bills of lading include the BN9 and the correct program suffix for customs entries.

How Carriers And Brokers Use BN9 For Clearance

Customs brokers use the BN9 to identify the importer on CBSA systems. For carriers submitting manifests or release requests, including the correct BN9-derived program account avoids release holds. Electronic messaging (EDI) relies on standardized fields for business numbers; mismatches cause rejections that translate into detention, storage fees and late delivery impacts.

  • Manifest accuracy: Use the BN9 and program account fields consistently in EDI messages to avoid manual interventions.
  • Broker coordination: Confirm with the customs broker which program account to reference for each shipment, especially when multiple program accounts exist under the same BN9.

Handling Special Cases

Some shipments are imported under a customs broker’s or a designated carrier’s account. In those cases, the BN9 of the declarant differs from the beneficial owner — make sure your paperwork reflects who is the importer of record versus who is the consignee or payer of duties. If shipments involve bonded warehouses, duty-deferred entries or temporary import statuses, the BN9 remains the legal root but the specific program account used for filing and payment may vary.

  • Importer of record: Confirm whether the importer of record’s BN9 or the carrier/broker’s program account will be used for the filing.
  • Bonded movement: For bonded warehouses, note whether the BN9 is recorded against the bonded account or the importer’s primary account according to the filing instructions.

Tips For Reducing BN9‑Related Delays

Small administrative improvements reduce border friction:

  • Training: Train operations and customer service staff to request and validate BN9s at order intake.
  • Templates: Use commercial invoice and bill of lading templates that include labeled fields for BN9 and program account examples.
  • Audit trail: Keep records showing the BN9 used on each filing and any corrections so audits and reconciliations are straightforward.

In short, the BN9 is the nine-digit core Canadian Business Number used as the base identifier for CRA and CBSA program accounts. For warehouses, carriers and customs brokers, accurate collection, storage and use of the BN9 — and the correct program account suffix when required — prevents release delays, supports tax and duty reconciliation and provides a clean audit trail for cross‑border operations.
