Registration of UDI and device information in EUDAMED for applicable medical devices.

Overview

EUDAMED UDI/Device Registration Registration of UDI and device information in EUDAMED for applicable medical devices. This practical checklist walks device owners, regulatory and supply chain teams through the end-to-end steps needed to prepare, submit and maintain UDI and device records in EUDAMED.

Successful EUDAMED registration is a multi-disciplinary activity. Logistics, regulatory affairs, quality, and IT must coordinate to ensure UDIs, product metadata and actor records are complete and consistent. Follow this step-by-step checklist to reduce rework, speed approvals, and limit commercial delays when placing devices on the EU market.

Pre-Registration Preparation

Before accessing EUDAMED, prepare these items:

  • Issuing Agency Approval: Ensure UDIs are issued via an accepted issuing agency (for example GS1) and that barcode syntax and data elements are correct.
  • Basic UDI-DI Assignment: Define the Basic UDI-DI that groups model-level data and document packaging hierarchies and associated UDI-DIs.
  • Master Data File: Create a single source of truth mapping EUDAMED data fields (intended use, classification rule, device description) to your internal product database.

Actor Registration

Actors must be registered in EUDAMED before device records referencing them can be accepted:

  • Manufacturer Registration: Register the legal manufacturer entity and provide trade name, legal address and contact points.
  • Authorized Representative: If the manufacturer is outside the EU, appoint and register an EU authorized representative with accurate EU contact details.
  • Importer/Distributor: Register importers and distributors when they act as economic operators in the supply chain.

Device Data Submission Steps

Submit device and UDI records in the following order to minimize errors:

  • Step 1 — Actor Links: Ensure the device record references existing actor IDs in EUDAMED (manufacturer, AR, importer).
  • Step 2 — Basic UDI-DI: Create the Basic UDI-DI entry describing the device family, intended use and classification.
  • Step 3 — UDI-DI Entries: Upload packaging-level UDI-DIs, associating them with the Basic UDI-DI and including GTIN or issuing agency identifiers.
  • Step 4 — Certificate References: Attach or link notified body certificate references and conformity assessment results as required.

Validation And Quality Checks

Run these checks before final submission:

  • Data Consistency: Verify product names, intended use text, and classification rules match technical documentation and certificates.
  • UDI Hierarchy: Confirm Basic UDI-DI links to packaging-level DIs and that sequence/lot assignment rules are clear.
  • Actor Contact Accuracy: Confirm EU contact details for the authorized representative will be monitored for regulatory correspondence.

Maintenance And Post-Market Actions

EUDAMED records are not one-time tasks. Plan for ongoing maintenance:

  • Update Triggers: Update EUDAMED records when there are design changes, new batch/lot relationships, certificate renewals, or changes in economic operators.
  • Vigilance Integration: Ensure vigilance reports and field safety corrective actions reference the correct Basic UDI-DI and UDI-DIs to support traceability.
  • Periodic Reviews: Schedule periodic audits of EUDAMED entries against internal QMS records to detect drift and maintain compliance.

Common Submission Errors And Fixes

Be prepared to correct these frequent errors quickly:

  • Mismatched Certificates: Fix by reconciling certificate numbers and validity dates with the notified body before resubmitting.
  • Incomplete UDI Hierarchy: Resolve by rebuilding the Basic UDI-DI relationships and re-linking packaging-level DI entries.
  • Incorrect Actor IDs: Correct actor references by updating device entries to point to the correct actor registration ID in EUDAMED.

Practical Checklist Summary

  • Data Governance: Establish a master data file mapping internal fields to EUDAMED.
  • Issuing Agency: Use an accepted issuing agency and verify barcode formats.
  • Actor Registration: Register manufacturer and EU authorized representative before device submission.
  • Validation: Run consistency and hierarchy checks prior to final upload.
  • Maintenance: Plan updates for certificates, design changes, and vigilance actions.

In short, the EUDAMED UDI/Device Registration process demands coordinated preparation—issuing-agency-compliant UDIs, registered economic operators, accurate device metadata and a program for ongoing maintenance. Using a clear checklist and a controlled master data approach reduces rework, helps meet MDR/IVDR obligations, and keeps devices market-ready in the EU.
