Receiving And Intake Steps


Designate a dedicated returns receiving area to segregate incoming returns from outbound goods. On arrival, scan the carrier-provided tracking number and any return authorization (RMA) codes into the WMS, capture exception reason codes, and photograph packaging and contents if damage is suspected.


  • Segregation: Keep returned items physically separate to avoid inventory contamination with good stock.
  • Scan & Record: Enter tracking, RMA, exception reasons, and condition notes into the WMS immediately on intake.
  • Initial Triage: Route returns to inspection, quarantine, or direct restock lanes depending on WMS rules and product risk profile.


Inspection And Disposition Decisions


Inspection verifies product condition, serial numbers, missing parts, or evidence of misuse. Disposition options typically include restock to sellable inventory, repair/refurbish, salvage, return to vendor, or disposal. Set clear disposition rules in your WMS so operators can process returns consistently and quickly.


  • Restockable: Items in original packaging with no damage and functional testing pass get returned to inventory with updated lot/serial records.
  • Refurbish: Minor damage or missing non-essential parts may trigger a repair workflow before restocking.
  • Return To Vendor (RTV): Items under warranty or contractual return may be consolidated and shipped back to a supplier.
  • Dispose/Destroy: Perishables, hazardous returns, or heavily damaged goods follow compliant disposal procedures.


WMS And Process Automation


Configure your WMS to handle R2S flows: capture return reasons, generate receiving tasks, enforce inspection checklists, and automatically create disposition tasks. Use barcode-driven workflows to speed scanning and cycle-count triggers. For high-return SKUs, consider automating disposition rules to reduce manual decision-making and labor.


Documentation And Compliance


Maintain documentation for returns: photographs, inspection forms, and chain-of-custody logs for regulated or high-value items. For international R2S cases, preserve customs paperwork and any return authorizations. If items were refused due to regulatory non-compliance (restricted goods), document the reason and coordinate with compliance or legal teams before restocking or disposing.


KPI And Operational Metrics


Track return-specific KPIs: return rate by SKU, cost per return (labor + transportation + disposition), time-to-restock, and percentage of returns that re-enter sellable inventory. These metrics identify chronic problem SKUs, carrier issues, or process gaps at the point of sale.

The WMS routes the item to the refurbish queue; a technician replaces the missing adapter from spare parts, updates the SKU’s lot, and the headset is moved back to sellable inventory with a minor refurbishment flag in the system.
