An update confirming that an order shipped, typically including the carrier, service level, ship date, and tracking number.
Overview
Shipment Confirmation A notification or data update confirming that an order has shipped. It is often conflated with Advance Ship Notices (ASNs) in B2B contexts, but the two serve different audiences and contain different levels of detail.
Both messages announce that goods are on the move, yet their structure, timing, and consumers vary. A shipment confirmation for a consumer-order may be a brief email with tracking and estimated delivery. An ASN (commonly an EDI 856) is a structured document designed for receivers and supply-chain systems, often including pallet-level details, GTINs, carton contents, and expected delivery schedules.
Key Differences
- Audience: Shipment confirmations target customers and internal teams; ASNs target receiving departments, retailers, and trading partners.
- Format: Shipment confirmations are often human-readable (email/SMS) or simple API payloads; ASNs are formalized standards (EDI 856, XML) that feed receiving systems.
- Content Depth: Confirmations provide tracking, carrier, and basic package details; ASNs provide item-level counts, serials, lot numbers, pallet IDs, and sometimes routing/handling instructions.
- Timing: Consumer shipment confirmations usually go out at label creation or first carrier scan. ASNs are often sent in advance of delivery (hours or days) to allow receiving to prepare.
When To Use A Shipment Confirmation
Use a shipment confirmation when the primary goal is customer communication or internal status update. Examples: a merchant notifying a buyer that their online order has shipped, or a fulfillment center updating an OMS when a parcel leaves the dock.
When To Use An ASN
Use an ASN in B2B and retail distribution where receivers require structured pre-advice for planning and receiving. Retail chains and large distributors frequently require ASNs so receiving teams can allocate dock doors, scan inbound pallets, and match shipments to purchase orders.
How To Decide For A Mixed Operation (3PL + Retail + DTC)
Many operations need both. Implement a dual-path approach: send customer-facing shipment confirmations automatically for DTC orders while simultaneously generating ASNs for wholesale and retail orders that demand them. The WMS or middleware should map the fulfillment event to both outputs, translating internal data into the correct standard (email, API, EDI) for each recipient.
Practical Interoperability Considerations
- Field Mapping: Ensure your WMS maps SKU, quantity, lot, and pallet IDs into ASN fields correctly to avoid receiving delays.
- Timing Rules: Agree with partners on when an ASN is valid — some retailers require it before carrier pickup; others accept it after dispatch but before delivery.
- Carrier Integration: Confirm that your carrier tracking numbers are included in both shipment confirmations and ASNs so receivers can reconcile shipments during transit.
Example: 3PL Fulfillment For A Retailer And A Consumer
A 3PL picks and packs two separate orders: one palletized shipment for a retail buyer and multiple parcel shipments for consumers. The 3PL issues an ASN to the retailer with pallet SSCC, pallet contents, and expected arrival window. At the same time the 3PL triggers shipment confirmations to individual consumers with tracking links. Using both messages ensures the retailer schedules receiving and consumers get delivery visibility.
In short, the Shipment Confirmation is the practical, often customer-oriented notification that an order has shipped; use it alongside ASNs where structured pre-advice is required by trading partners.
