Though often used interchangeably in casual conversation, the terms can imply different scopes in operational practice:

  • Shipment Confirmation: Typically the merchant-or-warehouse generated notice that goods have left origin with tracking information. Customer-facing and often minimal in data scope.
  • Shipping Notification: A broader term that may encompass pre-shipment alerts (ready-for-pickup), carrier pickup notices, and EDI 856 ship notices. It can be richer in data and aimed at trading partners rather than end customers.


When To Use Each Term


Use the terms in ways that match your audience and system contracts:

  • Use Shipment Confirmation: When informing customers and marketplaces that an order is on its way and providing a tracking link.
  • Use Shipping Notification: When communicating with B2B customers, retailers, or carriers where more technical details (ASN, carton-level mapping, serial numbers) are required.


How Systems Map The Events


Mapping expectations across WMS, TMS, OMS, and carrier systems avoids confusion:

  • WMS to OMS: The WMS typically emits the shipment confirmation to the OMS to mark order status as fulfilled.
  • WMS to Carrier/TMS: A shipping notification or ASN may be sent to carriers (for freight) or to the TMS to schedule pickups and exchange pallet-level details.
  • EDI 856: In retail compliance, the ASN (Advanced Shipping Notice) is the formal shipping notification detailing carton-to-order mappings; this goes beyond the customer-facing shipment confirmation.


Impact On Compliance And Retail SLAs


Retail compliance programs may require ASNs within specific time windows and with particular data fields. Treating the simple shipment confirmation as a substitute for an ASN risks chargebacks. Conversely, sending full ASN data to a consumer may overwhelm or confuse them; keep messages audience-appropriate.

  • E-commerce B2C: Customer receives a shipment confirmation email with tracking after label print. No ASN required.

  • Cross-Border Freight: Freight forwarders exchange shipping notifications containing pallet IDs, customs references, and bill of lading information alongside customer-facing confirmations that include the tracking link.
