Pre-Pack Checks
- Purchase Order Match: Verify SKUs, quantities, and unit of measure against the purchase order before packing.

- SSCC/Serial Shipping Container Code: Ensure unique SSCCs on each pallet and that they are encoded in the ASN.
- Placement And Readability: Labels must be on the long side of the carton, unobstructed by tape, and scannable with a hand scanner at typical scanning distance.
Documentation And EDI/ASN
- Advance Shipment Notice (ASN): Send the ASN (EDI 856 or equivalent API) within the retailer’s required lead time and include SSCC, item-level quantities, and carton details.
- Packing List: Include a paper or electronic packing list with carton-level breakdowns and PO references.
- Certificates And Regulatory Docs: Attach required certifications (e.g., country of origin, safety, phytosanitary) where applicable.
Palletization And Staging
- Pallet Pattern And Tiers: Build pallets according to retailer-prescribed patterns to avoid overhang and ensure stability during handling.
- Stretch Wrap And Corner Protection: Use required wrap levels and protective materials to secure cartons during transport.
- Label Pallet Faces: Place SSCC labels on two adjacent sides of the pallet for easy scanning regardless of orientation.
Carrier And Routing Rules
- Carrier Selection: Use the retailer’s preferred carrier or follow routing instructions in the PO or routing guide.
- Appointment Scheduling: Book dock appointments per the retailer’s window and confirmation process; document the appointment number on shipping paperwork.
- Freight Terms: Verify Incoterms and who is responsible for freight charges to avoid payment disputes.
At-Carrier Pickup And Delivery
- BOL Accuracy: Ensure bills of lading include correct PO numbers, pallet counts, weights, and SSCC references.
- Carrier Confirmation: Obtain proof of pickup and carrier document numbers; reconcile carrier paperwork with ASN and packing list.
- Exception Handling: Establish contact points for missed appointments, refusal of delivery, or damage claims and notify the retailer within the agreed timeframe.
Quality Assurance And Records
Maintain documented pre-shipment checklists, scanned label samples, and ASN logs for at least the retailer’s audit period. Periodic internal audits and random sample checks reduce rework. When multiple SKUs or promotional packaging are involved, increase sampling frequency and document any deviations with corrective action plans.
Practical Implementation Notes
Use a staging area near the dock to verify carton and pallet IDs against the ASN before carrier pickup. Train packers on label placement templates and common nonconformances. Integrate scale-and-label solutions where feasible to reduce human error in weight and label application. For vendors using 3PLs, include compliance requirements in the 3PL service-level agreement and audit regularly.
Common Pitfalls To Watch For
- Incorrect Label Formats: Vendors often use truncated or low-resolution barcodes that fail automated scans.
- Late ASNs: Sending ASNs after carrier pickup disrupts receiving workflows and triggers penalties.
- Mixed Pallets: Putting multiple POs or retailers’ SKUs on one pallet when single-store palletization is required.
